    Description

    We are seeking a highly skilled Office Manager with expertise in Project Coordination to join our team. In this position, you will take charge of our Paarden Eiland office's day-to-day operations and provide crucial support to our CEO. Your responsibilities encompass overseeing the efficient functioning of our Paarden Eiland office while offering essential project coordination assistance to our CEO and Executive Committee (Exco). This multifaceted role requires an individual with outstanding organizational skills, excellent communication abilities, and the capacity to effortlessly handle a wide range of responsibilities.

    Key Responsibilities:

    Office Management:

    • Oversee and optimize the operational efficiency of our Paarden Eiland office.
    • Cultivate relationships with suppliers and manage office inventory.
    • Coordinate maintenance and facility improvements.
    • Ensure a warm and professional ambiance at the reception area.

    Project Coordination:

    • Collaborate closely with the CEO and Exco to execute pivotal projects.
    • Develop comprehensive project plans, timelines, and performance reports.
    • Facilitate meetings, workshops, and conferences relevant to ongoing projects.
    • Keep stakeholders informed through regular project progress updates.

    Administrative Support:

    • Manage the CEO's schedule, including appointments and travel arrangements.
    • Create, edit, and review documents, presentations, reports, and minutes.
    • Handle incoming and outgoing correspondence with professionalism and diplomacy.

    Communication and Liaison:

    • Act as a vital liaison between the CEO, Exco, and various company departments.
    • Establish effective communication channels with external partners, clients, and stakeholders.
    • Participate in meetings and diligently record minutes when required.

    Record Keeping:

    • Maintain meticulous records, both electronic and physical, guaranteeing data accuracy and accessibility.
    • Uphold the highest standards of data confidentiality and integrity.
    • Assist in financial record-keeping and expense tracking.

    Qualifications:

    • A Bachelor of Commerce degree or a related field and a Project Management diploma are advantageous.
    • Extensive and demonstrable experience in office management and successful project coordination.
    • Exceptional organizational aptitude and mastery of time-management techniques.
    • Superb communication skills, encompassing both written and verbal communication.
    • Proficiency in the Microsoft Office Suite.
