Personal Assistant ( Northern Suburbs)


Qualifications and Skills

  • A degree or diploma in Business Administration, Legal Studies, or a related field is preferable.
  • Proven experience as a Personal Assistant or in an executive support role.
  • Strong proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
  • Excellent organizational skills, attention to detail, and ability to prioritize tasks effectively.
  • Familiarity with legal compliance procedures and terminology, particularly in mining compliance and factory health and safety.
  • Exceptional written and verbal communication skills.
  • Ability to work independently, proactively anticipate needs, and take initiative.
  • Discretion and professionalism in handling confidential information.
  • Flexible and adaptable, with a positive attitude and strong problemsolving abilities.
Key Responsibilities


Organizational Expertise
Implement efficient filing systems for both physical and digital documents, ensuring easy retrieval and confidentiality.

Streamline administrative processes and assist in optimizing workflow efficiency for the executive team.


Executive Support


Act as the primary point of contact for the General Manager and Managing Director, managing their calendars, appointments, and correspondence.

Coordinate travel arrangements, itineraries, and accommodations for business trips, conferences, and meetings. You will receive many ad hoc requests that don't necessarily fit into one single box.

Utilize advanced Excel skills to create, update, and maintain various reports, spreadsheets, and data analysis for decision-making purposes.

Generate accurate and visually appealing presentations using MS Office tools to support executive communications.


Legal Compliance and Secretarial Support
Assist in legal compliance matters, specifically focusing on mining regulations and factory health and safety requirements.

Collaborate with legal teams to draft, review, and proofread legal documents, contracts, and agreements.

Serve as a liaison between the executive team and legal advisors, ensuring timely responses to legal inquiries.


Communication and Coordination
Prepare and distribute internal and external communications on behalf of the executive team.

Coordinate meetings, conferences, and events, including logistics, agendas, and follow-up actions.


Confidentiality and Discretion
Handle sensitive information with the utmost confidentiality and discretion, maintaining professionalism at all times.


Project Support
Assist in managing special projects and initiatives, coordinating tasks, deadlines, and resources as needed.
