- Organize and prepare for meetings.
- Coordinate travel arrangements.
- Provide daily support to the CEO and CFO.
- Responsible for general office administration.
- Manage boardroom bookings.
- Coordinate office events.
- Ensure accurate and complete minutes of meetings held including but not limited to Board,EXCO, and OPCO meetings of the Company.
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.
- Assist in the preparation and distribution of meeting agendas and materials.
- Coordinate travel arrangements.
- Maintain a travel workbook listing bookings made and costs incurred to date per cost center.
- Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
- Arrange meetings as requested by the CEO or CFO
- Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
- Answering and directing calls to appropriate executives and parties, taking messages.
- Ensure the completion of quarterly board packs and distribution thereof.
- Follow up with various department heads on reports and ensure that reports are submitted on time.
- Responsible for general office administration.
- Main contact person for any matters pertaining to the office building.
- Corporate property inspections and address maintenance issues promptly.
- Work closely with vendors and maintenance teams to ensure property upkeep.
- Manage boardroom bookings.
- Ensure boardrooms are maintained in terms of cleanliness and refreshments for meetings.
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
- Co-ordinate and arrange office events.
- Matric.
- 3- 5 years' prior experience in supporting a senior executive or team.
- Computer Literate in Excel and MS Word (Intermediate to Advanced)
- BComm in administration.
- Strong planning and administration skills.
- Excellent written and verbal communication skills.
- BCOM in Administration.
- Excellent Interpersonal skills.
- Excellent communication skills (written &verbal)
