Epworth School   - Function Co-Ordinator and Bean@Epworth Coffee Shop Supervisor / Manager 

2017 – present

  • All administration duties related to Functions and Coffee shop
  • Co-ordinate and oversee the setting up of all functions and use of facilities for Academic, Cultural, Sporting, Spiritual or other purposes, across the Epworth Campus.
  • Liaise with the relevant stakeholders (Epworth academic and support staff, cleaning contractors, catering contractors, and Epworth Estates staff).
  • Co-ordinate the booking of all the venues and follow-up with the accounts department regarding any charges or fees that maybe levied for the hire of the venue.
  • Control the assets room. The linen (tablecloths and overlays) used for the various events and functions during the school year, ensuring it is laundered and kept in good condition.
  • Keep all the assets and décor in a reasonable state and replacing when necessary.
  • Together with the sports department and estates department, ensure that all the sporting equipment is maintained on a regular basis where required.
  • Attend all meetings related to my department.
  • Attend weekly logistics meetings for sport and any other departments, where the following week’s activities, events, and fixtures are discussed in detail.
  • Compile the termly sporting and or functions document at the beginning of each term, using the term calendar and sports timetables. This document is used to compile the weekly facilities calendar.
  • Compile the weekly facilities calendar for the following week. This detailed document reflects the week’s activities on the campus. This document is e-mailed to all the relevant stakeholders, e.g. security, Estate’s Manager, kitchen, garden supervisor on campus.
  • From the weekly facilities calendar, draw up a daily list of all the required setups and tasks etc. that need to be completed by Function setup staff.
  • Supervise any function or event setups that need to be completed. Ensuring that the grounds and gardens are neat and tidy, all chairs and tables are clean and presentable, all lighting in the area is working effectively (if necessary for evening functions). 
  • Notify security about the function or fixture and arrange for extra gates to be opened and manned by security personnel if necessary. Additional parking (or directing of parking)
  • Liaise with and co-ordinate estates staff, cleaners and the caterers, where necessary, so that the function or fixture runs smoothly.
  • Liaise with the person in charge of the event for any exact event requirements.
  • Oversee the dismantling and removal of the event and clear the venue efficiently.
  • Assist with coordinating internal festivals and functions
  • Compile costing to company on functions and festivals.

    General:
  • Assisted in School uniform shop on various occasions.
  • Stood in as temporary Estate Manager for 4 Months  

External functions / festivals / B&B (Hostel accommodation) bookings and coordinating:
