    Description

    The Manager: Project Management Office (PMO) is responsible for the establishment and running of a center of excellence focused on project management. The main purpose of the Project Management Office (PMO) is to make sure that projects and programs of projects are run in a repeatable and standardized way. The PMO manager strives to achieve this purpose by determining and establishing best practices in terms of project management methodologies and processes. They oversee all projects and ensure adherence to governance standards.

    1. Execute the duties associated with the Project Management Office by:

    1. Compiling and keeping a portfolio of all current projects, including project purpose, project managers, project timelines, and project budgets.
    2. Facilitating the TSAMIT project budgeting process with all relevant stakeholders and ensuring buy-in and sign-off on the enterprise portfolio of projects and the costs associated with them.
    3. Managing the IT Project Management Office and ensuring the IT projects are executed as planned.
    4. Managing, guiding, and providing overall leadership to scrum masters and project managers.
    5. Supporting the successful delivery of projects undertaken by the Company through effective facilitation, tracking, and reporting on overall portfolio health.
    6. Acting as an escalation point for all project-related issues.
    7. Selecting and managing vendors and contractors when required.

    2. Act as a thought leader and expert on project management, waterfall, and Agile for Company South Africa.

    1. Staying abreast of all trends, new developments, and evolving knowledge in the fields of project management and Agile.
    2. Help transition our business from its existing work practices to infusing a real agile understanding from the top down.
    3. Acting as a thought leader by sharing project management information and knowledge with relevant stakeholders and influencing related decision-making.
    4. Providing advice and coaching to all stakeholders requiring support.
    5. Building a network of peers to learn from and share information about project management practices and standards.
    6. Becoming familiar with existing Company Manufacturing Europe and Company South Africa Manufacturing project management practices.
    7. Representing Company South Africa in Company worldwide project management decisions and discussions.
    8. Actively act as a formal member of the Company Global Agile Quality Circle

    3. Establish project management best practices, processes, and methodologies in TSA by:

    1. Investigating project management methodologies and deciding the best approaches for different kinds of projects.
    2. Guide teams to help them stay on track with agile techniques, fine-tuning approaches as needed to ensure the overall strategy is being met.
    3. Lead agile workshops for both development and functional teams, as well as key stakeholders
    4. Defining, implementing, and enforcing the use of project management processes for the TSAM IT department.
    5. Defining, implementing, and enforcing appropriate project management policies and standards for the TSAM IT department.
    6. Defining, creating, and enforcing appropriate project management templates to ensure consistency on IT projects.
    7. Maintaining and continuously improving policies, processes, standards, practices, and templates on an ongoing basis.
    8. Ensuring fit-for-purpose tools are acquired and used for PMO and project success
    9. Setting up and managing a central repository for project artifacts.

    4. Manage the portfolio of organizational projects and track the progress of projects by:

    1. Working with project managers to identify and then manage dependencies across multiple projects.
    2. Tracking project progress dealing with deviations and managing escalations.
    3. Tracking and managing project benefits.
    4. Ensuring the overall health of TSAM IT portfolio of projects in terms of schedule, budget, and quality.

    5. Establish and embed a project management competency and capability in Company South Africa by:

    1. Contributing to the recruitment of project managers or staff that will have a project management responsibility by defining responsibilities, participating in interviews, and contributing to appointment decisions.
    2. Identifying project management qualifications and certifications requirements.
    3. Selecting best practice providers for project management education.
    4. Developing and presenting training on internal project management practices, processes, and standards.
    5. Coaching project managers on both Waterfall and Agile project management methodologies.
    6. Devising assessments to determine the level of proficiency for current project managers.

    6. Oversee the adherence to project governance requirements by:

    1. Communicating and enforcing project management standards and governance.
    2. Ensuring that all activities adhere to SOX and general TSAM governance.
    3. Liaising closely with Internal Audit and External Audit to ensure compliance.

    7. Take responsibility for all project portfolio-related reporting and business analytics by:

    1. Responsible for managing the MLTP (Mid-to-Long-Term-Plan) – IT's 3 to 5-year plan.
    2. Gathering relevant project data and producing reports and analytics for review by the management.
    3. Using updates from project managers to track the overall status of all projects in the portfolio.
    4. Assist in standardization of the compilation of information and ways of reporting the same to the management.
    5. Reporting on budget adherence and other financial information, such as return on investment of projects.

    8. Engaging with relevant stakeholders by:

    1. Regularly meeting with IT colleagues to identify, agree and prioritise IT project priorities.
    2. Regularly meeting with the team members in the PMO and his/her manager to report progress, raise issues, and brainstorm solutions.
    3. Engage with all Company affiliates worldwide to establish a network for best practices and actively participate in forums to determine the Company's Global PMO strategy

    9. Acting as a member of the team by:

    1. Attending team meetings and workshops and contributing ideas and comments.
    2. Continuously developing his/her competency through attending training programs, self-study, reading, and networking with internal and external peers.
    3. Supporting team members and collaborating by clearly communicating expectations, progress, constraints, and resolutions.
    4. Contributing to the shared knowledge of the team by sharing insights, understanding, and experiences.
    5. Participating in relevant surveys and workshops.
    6. Performing required administrative requirements such as reports, time sheets, leave requests, performance contracting, performance progress feedback, and general requests.
