Purpose of the Position


Facilities custodian and provide IT the framework and support solution design of the data flows to build the end-to-end data architecture.

Provide a bottom up support and expertise to enable IT to achieve the implementation of the F&I data strategy, included but not limited cleaning up the current facilities data warehouse.


Key Performance Areas (KPAs)

Analyse and coordinate the facilities and infrastructure data source in preparation for data flow solution design.

  • Prepare, manage, monitor and report on the facility department included but not limited to Support office and the entire SBV property portfolio.
  • Develop and implement initiatives that do not forego efficiencies in place
  • Analyse the current data source and benchmark, analysis, reporting and the implementation of future initiatives within the lifecycle
  • Analyse and implement corrective plans supporting the utilisation of various infrastructure and facilities programs which directly impacts the profitability of the infrastructure portfolio.
  • Create optimisation strategies based on the framework and align to the organisational property requirements.
  • Conduct due diligence around costing and estimations prior to the commencement of each program of work to generate a comprehensive view together with cost saving initiatives.
  • Manage the endtoend property value chain for the Group, benchmarking operating costs per property against industry standards.

Oversee the collection and analysis of data to adjust to current future plans

  • Establish and monitor a data repository for the facilities and infrastructure components ensuring data integrity to enable effective business decision making.
  • Develop and generate MI for the integrated facilities and infrastructure portfolio performance across the group inclusive of all initiatives implemented.
  • Utilise the data source to build a future facilities and infrastructure framework to remain ahead of industry standards.
  • Establish, update and regularly report on the consolidated risk register and mitigation measures specific to estate management.

Responsible for all the Administration Functions including the database, MIS and service implementation processes within Infrastructure and Facilities

  • Administer the Contract Database and service implementation.
  • To ensure that all Facilities and Infrastructure failures related to SHE and regulatory compliance are immediately mitigated.
  • All building and maintenance works must comply with all SHE supplier legislative requirements.
  • Architect to issue final completion certificates for all consolidations sites as well as all sites where build works were conducted. All sites to comply with Occupational health and safety act (85 of 1993) as well as National buildings regulations act 103 of 1977 as well approved COC's.

Have occupational certificates, building plans and structural engineer certificates that the building integrity comforts to all statutory codes and requirements.

Fire completion certificates lodge with local authority and plumbing design certificates.

  • Property portfolio administration management
  • Owned and Lease properties.
  • Reports Accurate and approved layouts: internal design intent Specifications.
  • Update the specification booklet (Architect, mechanical, electrical and Fire)
  • Verify that all contracts are original copies, completed and signed in full.
  • Administer and maintain a manual contract database and filing system.
  • F&I / Procurement supplier review and contracts program

Minimum Requirements:

  • 3 years must be within Administration

  • Grade 1
  • Diploma/Certificate in Business Administration.

Functional Competencies Required

  • MS Office Suite (Competent)
  • Numeracy skills
