    Description

    Office Management:

    Oversee day-to-day office activities as main point of contact in reception area, and keep management informed regularly via performance reports.

    • Oversee and maintain office equipment for uninterrupted function, identify needs and acquire suppliers.

    • Manage vendor relationships and coordinate food deliveries when requested.

    • Attending meetings with senior management and taking minutes

    • Booking transport and accommodation

    • Organising company events and conferences

    • Ordering and monitoring stationery

    • Dealing with office correspondence, complaints, and queries

    • Preparing letters, presentations and reports when required

    • Supervise and monitor cleaning staff.

    • Implementing and maintaining procedures/office administrative systems

    • Manage and monitor company fleet usage and report irregularities.

    • Assist finance and HR with administrative duties where necessary.

    health and Safety coordinator:

    -EHS management system definition and coordination: creation and update of procedures and documentations

    • Ensure Cepheid RSA are compliant as per Occupational Health and Safety Act (OHSA), 1993.

    • Annual Risk Assessment and prevention actions

    • EHS training organization and traceability

    • EHS regulatory and compliance controls, checks and corrective actions.

    • EHS Monthly checklists to ensure compliance and traceability.

    • Periodical EHS audits

    • Waste management: identification, storage, and removal in compliance with regulation

    • PPE management: appropriate selection, order, and distribution

    • Safety communications

    • EHS Workspace organization and internal moves management

    • External companies risk assessment and regulatory documentations follow-up

    • Co-ordinate monthly H&S Committee meetings, participation, SOP's, and discipline trainings

    • Manage and maintain H&S Manual

    • Access control management

    • Quality process management for EHS

    Facilities:

    Manage repairs, maintenance, and upkeep of company facilities, including building systems, appliances, and outdoor spaces.

    • Work with vendors, contractors, and property managers to ensure timely completion of repairs and maintenance tasks.

    • Coordinate facilities services, including custodial, landscaping, and security services.

    • Monitor and manage facility access and safety protocols, including security systems and protocols.

    • Ensure compliance with all regulations and codes related to building safety and maintenance.
    • Develop and maintain relationships with landlord and other stakeholders to ensure adherence to contract terms and conditions.

    MINIMUM REQUIREMENTS:
    Education or Experience:
    Business Admin qualification (or equivalent experience) with 4-6 years of relevant work experience.


    Knowledge and skills:

    • Strong written and verbal communication skills

    • Ability to communicate effectively in English. Other languages

    • High attention to details with the ability to effectively review and understand sales agreements, proposals, purchase orders, and related information.

    • Strong focus on driving customer satisfaction

    • Good problem solving and analytical skills.

    • Demonstrating good judgment and initiative

    • Self-motivated, confident, reliable, and able to plan and follow up on outstanding issues.

    • Able to operate in a fast-paced environment.

    • Should be an outgoing, positive, team player.

    • Strong sense of accountability


    Other:

    • Travel minimum 25% –regional and some international travel is required.
