Description

The purpose of this role is to Co-ordinate and participate in the Business Development teams' activities and functions. To enable the team to focus on their core responsibilities. These co-ordination responsibilities include the tracking of the various functions in the team, to ensure tasks are successfully completed within the desired time frames and to co-ordinate the activities of team members to successfully deliver on the growth identified outside budget and successfully deliver the targeted pipeline commitments.

  • Support marketing activities including Market Analysis

  • Manage the submissions of company CAPEX
  • Reconciliation and follow up of P&L expenses and claims

Main Outputs and Responsibilities for This Position

AREA/TYPE

RESPONSIBILITY
Co-Ordination of team appointments and events

  • Arrange and coordinate team meetings to ensure regular attendance
  • As needed coordinate teams meetings with internal and external customers
  • As needed setup meetings with external clients as requested or scheduled and diarize for those applicable
  • Ensure effective minute and action items recorded and distributed and feedback provided before next meetings
Co-Ordination and collation of project trackers

  • Work with the teams to update schedules and project trackers based on feedback provided by the relevant team members
  • Ensure the format and the accuracy of the reports are correct before presentation and/or distribution of trackers
  • Where multiple trackers are in play, and as necessary, collate into a deck for meeting presentations
  • Track proposals and active projects and provide admin support
Travel arrangements for team at best available price

  • Arrange flights and accommodation to support the business travel requirements of the team in order for them to affect their roles
  • Travel includes domestic and foreign travel
  • Ensure best prices possible delivered within the company travel policy
  • Issue air tickets and travel vouchers as required to relevant team members and cover this with a typed travel Itinerary
Price File Management

  • Work with IBP to manage to company price file
  • Update the price file with the annual price increase as determined by the business
  • Update the price file on a monthly basis to counter changes in product pricing or inflation increases in the market as needed
Collate To-Do action lists to ensure these are complete for feedback - weekly

  • Ensure that action items for the teams are completed by due dates and submitted as required
  • Ensure leave plans and trackers are in place for the team and deviations are highlighted with corrective actions. Exceptions are highlighted to the CBDO
Support Marketing activities including Market analysis and presentations

  • Help prepare presentation and graphics for prospective clients
  • Support market research intel collation with feedback from the team members and feed this to the Marketing researcher
  • Collect from market researcher the business leads relevant to the team and distribute according
  • Work with the marketing team to analyses the effectiveness of events and impact on the relevant sectors
Manage the submissions of company CAPEX

  • Update and maintain the CAPEX register.
  • Submit Africa and SSH CAPEX to the CAPEX committee for approval on both rental fleet and machine sales, and track the progress of the PO's and submission OEM's
  • Submissions to be done electronically as directed by Group Head of IBP
Reconciliation and follow up of P&L expenses

  • Ensure all claims and expenses of the team are submitted or accrued in the correct month for P&L review.
  • Submit expense claims and invoices for the team for processing and ensure spend is capped within the budget.
  • Highlight over/underspend with relevant team lead for explanation or accrual

Any other lawful and reasonable outputs and responsibilities that may be required.

Qualifications
Minimum

Relevant Tertiary qualification or working towards one

Advantageous

Co-Ordinator experience in a senior team


Experience

  • 2 Years experience in a similar coordination role
  • Working within a commercial team

Knowledge

  • Customer relationship knowledge
  • Mobile platform digital skills
  • CRM "software" skills and database management
  • Rental industry
  • Industry specific knowledge i.e. mining, construction, light & heavy industrial
