Job Description:

We are seeking a dynamic and proactive Operations Manager to oversee the day-to-day operations of our organization. The ideal candidate will possess strong communication skills, exceptional organizational abilities, and a proactive mindset. The Operations Manager will play a pivotal role in supporting the practice owner in ensuring smooth and efficient operations.

Work Hours: Full-time, Eastern Standard Time (EST) hours
Salary: $2200 per Month

Responsibilities:

Communication and Support:

Respond to inquiries and questions via chat, providing timely and accurate information to staff members and external parties.
Log all incoming phone calls, recording details and follow-up actions in a systematic manner for future reference.

Documentation and Record-Keeping:

Maintain a comprehensive spreadsheet log to track phone call entries, ensuring accuracy and completeness.
Organize and manage documentation related to operations, including schedules, inventory records, and financial data.

VoiceMail Management:

Send out voice messages (VoiceMails) to staff members as needed, conveying important announcements, updates, or reminders.
Ensure that VoiceMails are clear, concise, and delivered in a timely manner to facilitate effective communication.

Day-to-Day Operations:

Take ownership of day-to-day operations, overseeing tasks such as scheduling, resource allocation, and workflow management.
Proactively identify areas for improvement and implement innovative solutions to enhance operational efficiency.

Support to Practice Owner:

Provide proactive support to the practice owner, assisting in decision-making and strategic planning to achieve organizational goals.
Collaborate closely with the practice owner to address operational challenges and optimize business processes.

Problem-Solving and Initiative:

Think outside the box to identify creative solutions to operational issues, taking initiative to implement improvements.
Anticipate potential problems and proactively implement preventive measures to mitigate risks and ensure smooth operations.

Requirements

Bachelor's degree in any related field (preferred).
Proven experience in operations management or a similar role.
Excellent communication skills, both written and verbal.
Proficiency in spreadsheet software (e.g., Microsoft Excel) for data management and analysis.
Strong organizational skills and attention to detail.
Ability to work independently and collaboratively in a fast-paced environment.
