- Communication and Support:
- Respond to inquiries and questions via chat, providing timely and accurate information to staff members and external parties.
- Log all incoming phone calls, recording details and follow-up actions in a systematic manner for future reference.
- Documentation and Record-Keeping:
- Maintain a comprehensive spreadsheet log to track phone call entries, ensuring accuracy and completeness.
- Organize and manage documentation related to operations, including schedules, inventory records, and financial data.
- VoiceMail Management:
- Send out voice messages (VoiceMails) to staff members as needed, conveying important announcements, updates, or reminders.
- Ensure that VoiceMails are clear, concise, and delivered in a timely manner to facilitate effective communication.
- Day-to-Day Operations:
- Take ownership of day-to-day operations, overseeing tasks such as scheduling, resource allocation, and workflow management.
- Proactively identify areas for improvement and implement innovative solutions to enhance operational efficiency.
- Support to Practice Owner:
- Provide proactive support to the practice owner, assisting in decision-making and strategic planning to achieve organizational goals.
- Collaborate closely with the practice owner to address operational challenges and optimize business processes.
- Problem-Solving and Initiative:
- Think outside the box to identify creative solutions to operational issues, taking initiative to implement improvements.
- Anticipate potential problems and proactively implement preventive measures to mitigate risks and ensure smooth operations.
- Bachelor's degree in any related field (preferred).
- Proven experience in operations management or a similar role.
- Excellent communication skills, both written and verbal.
- Proficiency in spreadsheet software (e.g., Microsoft Excel) for data management and analysis.
- Strong organizational skills and attention to detail.
- Ability to work independently and collaboratively in a fast-paced environment.
