Job Summary

Coordinating with the Purchasing Officer and Receiving Administrator and ensure receiving of all goods at the resort. To be able to do both random and thorough check of all goods received in compliance with health and safety and to check all aspects related to and including quantity of the goods received expiry date and any amount excess or short. Effectively communicate with Purchasing, Cost Control, Storekeepers and other Department and Section Heads.

Key Duties and Responsibilities

  • To check daily all Purchase Orders and ensure that items to be received are in accordance with the Resorts standards.
  • Together with the Receiving Administrator maintain Health and Hygiene and Security Standards throughout Receiving Office and Receiving Bay.
  • Comply with out Fruits and vegetables disinfection policy
  • To check the invoice with the price and quantity agreed to, and if any discrepancies refer to the Receiving Administrator and Inventory Controller immediately.
  • Ensure, where necessary, all items which require weighing are weighed accurately and that the receiving scale is serviced and calibrated regularly
  • To check the goods are collected by stores or the relevant department heads with no stock remaining in receiving at the end of the day.
  • Items received damaged or expired must be reported to the Inventory Controller and immediately returned on a Goods Returned Note.
  • To maintain the file sorter of Purchase Orders and ensure no Purchase Orders or back orders are accumulated.
  • Not to amend any approved Purchase Orders or Invoices without the consent of the Purchasing Officer or Procurement Manager
  • To work alongside the Receiving Administrator and Inventory Controller and be able to prepare a nonreceived items list from the list of Purchase Orders outstanding and send to Purchasing Officer to review by 14:00 each day
  • Nonreceived items list to include comments as to what has been done to source outstanding deliveries
  • Prepare the GRN document signed by the supplier representative on delivery needed to complete the GRN posting and inform Inventory Controller. Purchasing Department and Inventory Controller to ensure official credit note is received from supplier within 24 to 48 hours for processing onto Iscala.
  • Ensure all invoices are attached to the correct Purchase Order once received and signed off. All received invoices must be stamped as received and signed and dated correctly.
  • Complete the temperature control sheet for all fresh food deliveries at the point of delivery, by verifying the temperature of the products received as well as the expiry and/or production date.
  • Maintain full confidentiality over Resort Financial status.
  • Maintain high spirit among the Finance Department staff as well as other resort staff.
  • Responsible for proper filing system in the Receiving Department.
  • Maintain a thorough health and safety standard within the Receiving Office and Receiving Bay.
  • Ensure stewarding staff clean the area daily and provide weekly deep cleaning of Receiving Bay.
  • Be prepared to do any other work within the department in order to assist other areas or in the event of other staff on leave, over weekends as directed by the Procurement Manager.
  • Ensure that Receiving & Store areas are clean all the time.

Skills, Experience & Educational Requirements

  • Minimum 2 years working experience on the same field in a 4 or 5 star hotel.
  • Must have an excellent command of English language both spoken and written, must be polite and friendly in manner.
  • Knowledge of MS Outlook, MS Excel is desirable
  • Knowledge of HACCP or any Food Hygiene & Safety procedure is an advantage
  • Strong influencing, interpersonal and communication skills.
