The Role

The role of the Office Co-Ordinator is to be the face of Pingo as the front of office, take ownership for the smooth running of the Cape Town office and assist various departments with administrative tasks.

The Office Co-Ordinator is responsible for make all travel bookings in line with business rules and processes. Greet Pingo employees when they first arrive in the morning. Be a culture champion. Greeting visitors and directing them to the appropriate person or department. Answering incoming calls and responding to general inquiries in a professional manner. Maintaining a clean and organized reception area. Managing office supplies inventory and ordering as needed Coordinating office maintenance and repairs. Overseeing office security procedures, including access and biometric management. Supervise the cleaning staff and conduct monthly meetings supplier account manager Coordinate with the building manager concerning maintenance.

Supervise providers for all office maintenance and support functions Manage the booking of the meetings rooms Check hourly that all meeting rooms are visitor ready Booking travel arrangements (flights, accommodation, transportation) for staff members in accordance with company policies and budgets.

Managing travel itineraries and providing necessary documentation. Providing administrative support to various departments, including document preparation, data entry, and scheduling meetings. Assisting in the onboarding process for new employees. Coordinating team events and activities.

Generating purchase orders for administrative tasks Health & Safety representative for the office Conduct regular risk assessments Ensure the first aid kits are stocked and maintained Ensure H&S committee meet as regularly as required and take minutes of the meetings.


Skills and Experience
Matric (Essential) Degree (advantageous) Experience in a similar role
