Description

DUTIES:


  • Responsible for the preparation and processing of the weekly and monthly payroll for all companies associated with Freedom Stationery, Oyster Plastics, Freedom Printpak, Workforce and Durpro on the Sage 300 payroll system (This includes the entire cycle of payroll processing from capturing of new employees, leave, terminations, updating personal details etc.)
  • Review and ensure accuracy of basic hours: overtime hours, and allowances etc. paid to employees (as per the BCEA) and Validate and input data related to hours worked, leaves, bonuses, and deductions
  • Administer employee benefits, such as medical aid and retirement funds
  • Address employee inquiries related to payroll.
  • Investigate and resolve payroll discrepancies or issues
  • Responsible for the coordination between payroll and human resources, to ensure proper flow and maintenance of employee data
  • Ensure that employees are allocated to the correct branch, departments, shifts, etc.
  • Maintain employee records; ensure that employee changes are entered correctly and made on a timely basis; review changes for proper authorization.
  • Handle confidential employee information with discretion
  • Generating reports for payments e.g. PAYE returns and other third parties payments
  • Payroll budget and salary benchmarking preparation.
  • Maintain a proper document control system e.g. authorization for overtime, promotions, rate adjustments are only carried out upon authorizations from Senior Personal (Managers, HR Officers)
  • Keep abreast with company policies and legislations that impact on remuneration.
  • Prepare monthend detailed reports, e.g. Wage and Salaries Reports, leave balances, head count, and month end reports per Department/ Cost Centre)
  • ETI reporting and calculations
  • Prepare monthly PAYE, UIF and SOL report for submissions
  • Communicate payroll changes to the HR Manager and Payroll Manager on time


  • Office Management

  • Maintenance of proper filing system
  • Bi-Annual submission to SARS, prepare and submit
  • To ensure consistency in all Employment Practices in compliance with all Legislation and Company Policies.
  • Ensure payroll practices comply with legal requirements.
  • Help implement organizational changes such as those following from Industrial Relations legislation, revised job classification structures or technological changes.


  • Special Reports

  • Preparation and presentation of spreadsheets as required by Management.
  • Check Workforce and Durpro invoices and sign off payment.
  • Checking Workforce and Durpro Times and signing off
  • Ordering of payroll stationery when stock is low
  • Releasing of payslips VIA ESS and assisting with employee queries.
  • Carry out any lawful task as instructed by the Payroll Manager.
  • Comply with all work instruction and procedures as laid down by the Quality Management System, namely ISO 900
  • Prepare and participate in internal and external payroll audits.
  • Ensure documentation and processes align with audit requirements.
  • Provide training to employees on payrollrelated matters.
  • Assist in training new staff members on payroll processes.

  • Ability to maintain confidentiality at all times and exercise extreme discretion
  • Problem solving/judgment skills, and high level of attention to detail and accuracy
  • Strong organizational skills, and the ability to work independently and under pressure
  • Ability to handle and prioritize multiple tasks and meet all deadlines
  • Recognizing and Adhering to Procedures; Systems; Policies and Controls with the objective of achieving and maintaining a highly eff icient Payroll Management System.

REQUIREMENTS:


  • Matric / NQF4 Certificate.
  • Relevant Degree, Diploma/ payroll qualification
  • Computer Literate: Word and Excel.
  • Proficiency in SAGE 300 People including Jarrison Time Management Systems will be advantageous
  • Updated on South African labor laws and tax regulations
