Minimum Requirements:


  • 35 years Executive Personal Assistant experience
  • 23 years project administration experience (Advantage)
  • National Secretarial Diploma (Advantage)
  • Attention to detail and accuracy (Advanced)
  • Communication skills (Written and Verbal)
  • Record Management Skills
  • Organizing skills
  • Telephone skills

Duties and Responsibilities:


  • Manage and maintain the Group Supply Chain Lead's schedule which include daily time and diary management, and the coordination of logistics as required.
  • Screen all incoming calls of the Group Supply Chain Lead and manage correspondence where applicable.
  • Schedule and arrange appointments, teleconferences and videoconferences as required by the Group Supply Chain Lead and greater department.
  • Coordinate the arrangement of conferences, workshops/teambuilds and seminars, etc. including any arrangements required for relevant Suppliers.
  • Coordinate and arrange management meetings for the IGroup Supply Chain Lead and ensure that agendas are prepared, all documentation is in order, and that everything runs smoothly this includes catering arrangements and any other related requirements.
  • Deal with all routine correspondence and draft responses accordingly.
  • Maintain an appropriate and effective filing/record management system.
  • Do all the travel arrangements of the Group Supply Chain Lead/greater Supply Chain team which include: Travel schedules and itineraries of Flight bookings and accommodation; possible arrangement of visa and foreign exchange; arrangement of transport.
  • Perform general administrative duties such as the preparation of presentations, reconciliation of expense reports, and maintenance of a records management system.
  • Provide project administrative and secretarial support to the Group Supply Chain Lead and greater Supply Chain team.
