Program Background
TechnoServe has been competitively selected by a large South African corporate partner to deliver Enterprise, and Supplier Development program in South Africa.
The initiative offers the opportunity to deliver transformative economic change in South Africa by supporting local enterprises to grow their businesses to the next level.
The initiative will look to drive broader development across the mining, agricultural, tourism, and retail sectors to support local economic development.
Once fully scaled, the initiative aims to support 10,000 jobs across locations in South Africa.This will be a global flagship initiative in proving the impact of shared value initiatives:
namely how business can make investments that both deliver value to shareholders and deliver meaningful impact to individuals and communities in their areas of operation.
TechnoServe is delivering the Enterprise, and Supplier Development initiative through a network of hubs, operating under the brand name of the corporate partner.
The hubs are delivering business acceleration services (training, mentorship, business development, access to finance, linkages to market opportunities, etc.) to eligible entrepreneurs through two program pillars - Enterprise and Supplier Development.
DUTIES & RESPONSIBILITIES
Key function:
Reception, administration and basic information dissemination
- The Receptionist is responsible to create a professional, service oriented, neat and organized environment, where clients feel welcome
- This person engages with all clients who phone or who walk into the hub, ensuring that they are appropriately addressed and serviced. This may require basic dissemination of information, referrals to BA's or external service providers, setting up appointments, receiving documents, or support with technology (wifi, computers, printer, copier etc)
- The Receptionist may schedule appointments for clients with Hub staff as appropriate, ensuring that contact details and reason for appointment is captured as well as contact detail
Data / document collection and record keeping
- Ensure that all walkin clients are recorded; including the purpose of the visit and their contact detail
- Supporting the hub manager with walkin client data for weekly, monthly, quarterly, and other stakeholder reports
- Receive / capture documents from clients for purposes of the program to support business advisors and the Hub administrator
- Direct requests and unresolved issues to the designated resource
Program administration
- Provide office support services in order to ensure efficient and effective operations of the program team
- Make preparations for meetings and events if required
- Support the team with travel arrangements and logistics if required
- Receive and send official mail
- Assist in planning and preparation of meetings, conferences, and conference telephone calls
- Maintain an adequate inventory of office supplies
- Placing and expediting orders for supplies and verifying receipt of supplies
- Handle basic finance functions if required
- Handle basic procurement functions if required
- Contribute to a positive, healthy and safe work environment
- Perform other administrative duties such as filing, photocopying, collating etc
Perform other duties that would be assigned from time to time by the supervisor
REQUIREMENTS
- Qualification in office management ( diploma)
- At least 2 years' experience in a client facing environment
- Excellent oral and written communication skills
- Very methodical and strong organizational skills
- Record keeping management and administrative capabilities
- A passion for working with people
- Good interpersonal and communications skills
