Job Description:
To provide high level comprehensive support by providing a full secretarial and administrative service. Ensuring that effective planning and administrative systems are in place and maintained efficiently and effectively.
You will engage with the following stakeholders:
- Executive Management
- Senior Management
- BankservAfrica Employees
- External Vendors
Your key responsibilities include:
- Keeps official corporation records and executes administrative policies determined by or in conjunction with other officials.
- Conserve Head's time by reading, researching and routing correspondence, drafting letters and documents, and by collecting and analyzing documents.
- Manages head's calendar and independently schedules appointments. Screens incoming calls and correspondence and responds independently when possible.
- Arranges events or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers and controlling event budget. Directs preparation of records such as agenda, notices, minutes and resolutions for corporate meetings.
- Arranges complex and detailed travel plans and itineraries, compiles documents for travelrelated meetings and accompanies supervisor when requested.
- Extensive experience at top level, together with an indepth knowledge of the organisation.
- Produce information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics.
- Runs errands as requested.
- Take accurate and comprehensive notes at meetings.
QUALIFICATIONS/KNOWLEDGE
- Grade 12 and Diploma
- Knowledge of Ms Office Suite
- Proficiency in English
- Ability to multitask and prioritise daily workload
EXPERIENCE
- At least 8 years secretarial / PA experience.
