Senior Legal Secretary (Legal Assistant/Executive Administrative Assistant)

Self-motivated, proactive, articulate and highly organised mature senior legal Secretary/Legal Assistant/Executive Administrative Assistant required who has experience in a predominantly commercial law practice, to deliver efficient legal secretarial and executive administrative support in a well-organised and timely manner so as to organise and ensure the smooth running of the office of the Group Legal Manager.


Duties:

Provide legal secretarial and executive administrative support to the Group Legal Manager in order to enhance office effectiveness;
Independently produce various legal documents, including letters of demand, contracts and the like using appropriate precedents;
Read, research, review, verify and route correspondence, reports, and legal documents;
Transcribe and proofread legal documents;
Take ownership of delegated assignments, but knowing when to act and when to refer matters to the Group Legal Manager;
Develop and maintain an efficient document filing and retrieval system, as well as digital archive systems;
Liaise with attorneys and maintain up-to date case files and records;
Research and maintain up-to date records of pertinent legislative developments;
Manage and maintain the Group's legal precedent library;
Manage and maintain the Group's other legal records and document libraries;
Produce board packs, reports, presentations and briefs;
Take dictation and minutes and accurately enter data;
Facilitate the meeting of numerous deadlines by keeping multiple agendas and provide timely reminders;
Undertake the tasks of receiving calls, taking messages and routing correspondence;
Handle requests and queries appropriately;
Liaise with the Group¦s executives and directors;
Make travel arrangements;
Maintain office supplies and consumables by checking stocks, placing and expediting orders;
Manage vendor invoices and payment;
Maintain strict confidentiality in all tasks.


Skills required:

Proven experience as a Senior Legal Secretary/Legal Assistant/Executive Administrative Assistant
Full comprehension of office management systems and procedures
Excellent knowledge of MS Office
Proficiency in English
Exemplary planning and time management skills
Ability to multitask and prioritize daily workload
High level verbal and written communications skills
Discretion and confidentiality


Minimum Qualifications:

Matric

Higher national diploma in legal secretary

Min 8 years post qualification experience essential

a paralegal qualification an advantage
