Responsible for customer / client experience through effective communication with clients as per request from the General Manager or Sales Representative (including addressing any queries and updating clients accordingly)
Purpose of the Position:

To provide a support function to the branch team in terms of all the co-ordination / administrative functions within the training coordination and to consolidate and update the necessary documentation related to the Project.

Action specific tasks on instruction and under supervision of Regional Director.

In addition, provide quality assurance of training documentation, accurate capturing of all learner data onto Learner Management System and issuing of certificates


Minimum Requirements:


  • Matric
  • Assessor certificate
  • 4 to 5 years' experience within admin / similar role
  • SETA experience will be an added advantage
  • Excellent planning and organisational skills
  • Excellent communication skills (both written and verbal)

Duties and Responsibilities:


Office Management:


  • Proactively troubleshoot areas of risk throughout the project life cycle
  • Ordering new supplies and materials
  • Keeping track of budgeting details
  • Finding new ways to reduce expenses
  • Learning about every aspect of each project they work on
  • Keeping track of changes in the long
- and short-term goals for projects

  • Managing the scheduling/ calendar for projects
  • Making sure that learners attend training and work and meet their deadline

Scheduling of Training Intervention:


  • Receive signed Quote and or Purchase Order from Sales.
  • Check the availability and book the Facilitator / Assessor
  • Order learning material and relevant stationery.
  • Collate/ Prepare learner Packs. Create a Booking form(s)
  • Make necessary arrangement with the facilitator/ Assessor for collection of learning material.
  • Call or check whether the facilitator has arrived at the training venue on the agreed time.

Project initiation:


  • Ordering of training materials prior to each training Event within the required timeframes
  • Ensure all project deliverables are achieved within required due dates and budget
  • Compiling project plan with RGM
  • Coordinating equipment use, activities, information, and resources

Project Implementation:


  • Perform daily project management tasks
  • Capture status reports updates
  • Arrange assessments after every training event and review assessments
  • Ensure that project deliverable packs are loaded onto shared drive / client folder
  • Arrange portfolio of evidence (P.O.E.) sample (25% of total portfolios) for internal moderation for credit bearing
  • Ensure short Courses are moderated as per the program
  • Review and submit an internal moderation report with learner achievements to SETA Liaison Department
  • Ensure that all project policies and processes are always adhered to

Internal Quality Assurance:


  • Scan the booking form, time sheet/ Invoice and attendance to Payroll.
  • Quality Assure Learner pack and identify missing supporting document
  • Secure the Assessor when applicable
  • Secure Moderators
  • Send an Internal moderation report to SETA Liaison Department and request Learner upload & External moderation.

Functional support:


  • Liaise with functional support teams and adhere to service level agreements
  • Talent recruitment of learners.
  • SETA & Liaison Training Specialist sourcing of facilitators/assessors.
  • Assist with SETA registrations and ETQA processes
  • Signing of learner agreements and obtaining supporting documents

Business Unit Leader

Ability to commute/relocate:

  • Secunda, Mpumalanga: Reliably commute or planning to relocate before starting work (preferred)

Education:


  • Certificate (preferred)

Experience:


  • Seta: 2 years (preferred)
