    Administrative Officer (post level 10/11)

    Duties and responsibilities:
    General office administration
    Manage general enquiries related to the School.
    Maintain record of outgoing mail.
    Perform administrative duties such as filing, meeting administration, and booking of venues.
    Arrange events within the School or section as required.
    Arrange travel and accommodation bookings as required by the School.
    Academic administration
    Ensure effective communication of matters related to the School and/or Faculty to students.
    Handle enquiries related to academic activities and timetables within the Faculty.
    Monitor and ensure that marks are captured accurately.
    Complete, monitor, and manage administrative duties related to E10 forms.
    Monitor assessment moderation.
    Coordinate the class and test timetables of the School.
    Compile tutorial and lecturer schedules.
    Monitor the submission of examination question papers and study guides to relevant stakeholders.
    Assist with the administration of module evaluations.
    Arrange and convey examination papers for the external moderation.
    Ensure tests and examination papers are submitted for translation.
    Arrange invigilators for tests and departmental examinations.
    Perform various duties related to Blackboard.
    Represent the School at the Class Timetable Committee of the Faculty.
    Ensure necessary arrangements related to Master's and PhD Research Interest Group (RIG) administration (e.g. databases, venues, presentations, workshops, correspondences to RIG Staff members and RIG Students).
    Financial administration
    Serve as an alternative to the School's financial officer when required.
    Manage administrative tasks related to ad-hoc claims of the School.
    Ensure and manage the availability of office supplies for the School.
    People management
    Manage and coordinate matters related to Student Affairs.

    Inherent requirements:
    Bachelor's degree or diploma in Office Administration or related field.

    Two (2) to three (3) years' relevant experience.


    Required competencies:
    Advanced proficiency in MS Office, especially Word, Excel.
    Knowledge of Learning Management Systems.
    Two (2) years' experience in PeopleSoft.
    One (1) years' experience with Blackboard.
    Ability to multi-task and manage complex working conditions.
    Ability to function in a diverse working environment.
    Ability to function as a team player
    Good organising and time management skills.
    Ability to ensure completion of tasks.

    Recommendations:
    Two (2) years' experience in a higher education environment.
