Job description:

This is an opportunity to join a well-established office and team which is growing rapidly. We require a Senior Administrative Assistant to provide an efficient administrative support function to the Adviser.


Responsibilities:


  • Administration
  • Client Relationship Management
  • Gather Policy information.
  • Compile a summary of information.
  • Research product information
  • Handling and solving of client enquiries.
  • Diary management
  • Reporting of new business statistics
  • Preparation of insure review appointments.
  • Maintaining CRM system

KEY ACTIVITIES
-
MANAGEMENT

  • Ensure all administrative instructions are received in accordance with the Hub Service Agreement.
  • Act as Direct Supervisor for all staff members within the hub.

Duties include but is not limited to:
Provide training as required to all other staff with specific focus on key functional areas of this position.

  • Monitor execution of all related tasks by administrators.
  • Assess and evaluated performance of related staff members in accordance with Practice's Performance Measurement procedures.
  • Provide feedback to Operational Manager / Practice Manager / Head of Stockbroking with regards to the performance and/or progress of related staff members.
  • Continuously assess/improve/maintain administrative procedure.

This includes, but is not limited to:
Liaison with product provider / key individuals regarding updated administrative procedures / requirements

  • Ensure adequate knowledge of beforementioned.
  • Communicate any applicable changes to administrators / advisors and ensure adequate training is provided where necessary.
  • Ensure the upkeep/maintenance of data on relevant systems.

NEW BUSINESS IMPLEMENTATION

  • Followup any outstanding cheques or documentation from the customer, inline with Stockbroking Service Offering.
  • Receipt all new business and perform the tasks of the implementation phase of the sales process e.g. Welcome letter sent to customer.
  • Confirm implementation is completed as required.

CUSTOMER SERVICE

  • Coordinate all customer correspondence at the request of the Adviser, Direct Supervisor, or Paraplanner.
  • Record all customer contact on the customer management system.
  • Ensure all changes to customer details are communicated to and implemented by the appropriate product providers.
  • Ensure all customer problems are solved in an efficient manner, often handling the liaison with fund managers and customers. Assist with all customer enquiries, inline with the company's service offer. This may include delegating the customer inquiry to the most appropriate staff member and
    does not include the provision of advice to customers.
  • Contribute towards the maintenance of existing customer relationships with the company; inline with the company service process and ensure maximum customer retention is achieved.

GENERAL ADMINISTRATION

  • Prepare new customer files as needed or delegate to the appropriate staff member.
  • Produce any documents or correspondence as required by the Adviser, Paraplanner or Direct Supervisor.
  • Other duties as requested by the Adviser and/or Direct Supervisor.
  • Assist with filing and archiving as and when needed.

Minimum requirements:


  • Grade 1 2 years relevant work experience in the financial services industry and financial product knowledge
  • Proficient in both spoken and written English and at least one other of the official South African languages
  • Computer literacy (MS Office)
