Description
Process all HR administration information according to the company policy and legislative requirements. Ensure that data integrity is not compromised and ensuring efficient administration processes are in place. Support the HR department with administrative functions.


KEY RESPONSIBILITIES:


Administration

  • Collect, analyse, organise, and verify information so that all errors are corrected before information is processed on the relevant systems (HRPM)
  • Use systems to validate and control information and followup of outstanding documentation
  • Draft, capture and manage all administrative functions during an employee life cycle:
  • New starter docs including contracts
  • Movements
  • ER record uploads
  • Performance management documents
  • Employee documentation management
  • Terminations
  • Workmen's Compensation
  • Training Registers

Service Delivery

  • Prioritise tasks when administering documentation as per the payroll calendar
  • Respond to employee queries timeously, so that appropriate measures can be taken to prevent the recurrence of further problems
  • Plan and action own work processes and system utilisation to meet team delivery
  • Develop and implement an effective followup process to ensure documentation is submitted timeously

Performance Monitoring

  • Escalate issues of concern to line for followup
  • Liaise with relevant parties regarding information / documentation required

Business Relationship Monitoring and Networking

  • Communicate effectively, verbally and in writing, with internal and external customers, to ensure business requirements are met
  • Liaise with stakeholders so that consequences of inconsistencies are understood, and appropriate actions initiated
  • Identify and refer outofline situation for resolution to ensure mínimal disruption
  • Develop and maintain relationships by reporting to line on people management issues, ensuring they are resolved
  • Interact with stakeholders regularly to ensure that areas of concern are addressed, and stakeholders are informed of any administration changes

General

  • Assist the HR department with training logistic arrangements and documentation
  • Long Service Award certification
  • Credit Checks and any ad hoc admin support to the recruitment process
  • HR reporting

MINIMUM REQUIREMENTS:

  • Matric / Grade 1
  • Diploma in HR
  • Computer Literate: Full Microsoft Office package
years HR administration experience
