The Coreline Group is a dynamic group of companies operating in the fibre installation and renewable energy sector. The Group has an exciting opportunity available for a Payroll Coordinator.

The Payroll Coordinator is responsible for preparing all documents relating to the appointment and termination of employees, as well as liaising with the operations teams to collate all the information necessary for monthly and fortnightly payroll changes.

Information which has been collated, is prepared and sent to our payroll outsourcing service provider for processing after which it is checked, and the month end closure processes are run.

This job will operate from Coreline's offices in Tygervalley, Cape Town.


Role and Responsibilities:


HR administration

  • Prepare contracts for new engagements and ensure that employees complete all necessary paperwork required from new starters by the company.
  • Prepare any change of wage/salary amendment, or company transfer documents and ensure that they have been signed off by management and employees.
  • Prepare termination documents for employees who are leaving the company and manage termination process as per company policy.
  • Gather exit interview data and ensure that terminations are accurately processed on HRIS.
  • Monitor daily compliance of timesheet submissions.
  • Ensure that the leave captured in timesheets reconciles with leave approved in HRIS.
  • Prepare UI19 documents for terminated employees.

Payroll coordination

  • Conduct user training and guide managers on the effective use of our HRIS (PaySpace)
  • Field system related queries.
  • Resolve payroll queries with the relevant manager.
  • Ensure accurate and uptodate employee data in all programmes, i.e. new starters, terminations, promotions.
  • Analyse and process overtime.
  • Calculate payroll changes and complete relevant input sheets for payroll administration.
  • Collate all monthly and/or fortnightly payroll changes for each pay period.
  • Ensure all payroll processes and authorisations have been completed ahead of monthly deadlines.
  • Communicate payroll changes to outsourced payroll service provider for processing by payroll deadline dates.
  • Check payroll reports from service provider for accuracy and follow procedures for end of month closure and filing of payroll data.

Experience and Skill Requirements:


  • A tertiary qualification in HR / Commerce/ Behavioural Science or related field is advantageous.
  • Minimum of 25 years' experience in payroll
  • Proficient in payroll processing
  • Good knowledge of the Basic Conditions of Employment Act
  • Excellent MS Office skills with a strong focus on MS Excel
  • Critical thinker with problemsolving skills.
  • Ability to analyse, integrate and interpret information.
  • Process driven with and ability to work methodically and accurately.
  • Able to meet deadlines, the ability to juggle multiple tasks and to prioritise workload.
  • Strictly confidential and ethical nature
  • Strong communication skills and written ability
  • Good interpersonal and coordination skills ability to form working relationships with people at all levels.
  • Able to work independently.
  • The ability to work under pressure and good time management skills.
