Procurement Support
Assist with obtaining quotations and preparing purchase requisitions.
Capture and process purchase orders on the system.
Follow up with suppliers regarding order status and delivery schedules.
Ensure procurement processes comply with organizational and financial regulations.
Inventory Management
Receive, record, and issue stock items.
Maintain accurate inventory records and update stock registers.
Conduct regular stock counts and reconcile discrepancies.
Monitor stock levels and report shortages or surpluses.
Logistics and Distribution
Coordinate the delivery and receipt of goods and materials.
Verify that goods received meet the required specifications and quantities.
Maintain documentation for incoming and outgoing shipments.
Assist with fleet management and courier arrangements where applicable.
Record Keeping and Reporting
Maintain supply chain records, files, and databases.
Prepare monthly reports on procurement, stock, and logistics activities.
Ensure all documents (invoices, delivery notes, GRNs) are properly filed and accessible.
Asset Management Clerk Duties
Asset Recording and Tagging
Capture all newly acquired assets in the asset register.
Assign and attach asset barcodes or tags for identification.
Ensure asset records contain correct details (description, serial number, cost, location).
Asset Verification and Audits
Conduct regular physical verification of assets.
Update the asset register with any changes (transfers, disposals, losses).
Assist with internal and external asset audits.
Asset Maintenance and Disposal
Monitor asset condition and schedule maintenance when necessary.
Record repairs, replacements, and servicing details.
Process disposal of obsolete or damaged assets according to policy.
Compliance and Reporting
Ensure compliance with asset management policies and financial regulations.
Prepare periodic asset reports (acquisitions, movements, disposals).
Support management in reconciliation between the asset register and financial system.
General Administrative Support
Provide clerical and administrative assistance to the Supply Chain and Finance departments.
Respond to internal queries related to procurement and assets.
Maintain confidentiality and ensure accuracy in all records.
Support audit processes and provide necessary documentation.
