                SECRETARIAL TASKS

 

  • Ensure that incoming calls are answered in a professional and friendly.
  • On request, make appointments and manage the superior’s diary ensuring that the manager is kept informed of appointment dates and times – provision of a daily activity schedule.
  • Receive, process and where possible, act on:
  • e-mail correspondence
  • fax correspondence
  • postal correspondence
  • Forward e-mail, fax and postal promptly and efficiently ensuring that copies are kept of all correspondence issued from the Branch Office.
  • Initiate new files and maintain   existing files of all secretarial tasks
  • Prepare, obtain authorization from superior and submit invoices to clients.
  • Prepare Zoom or team meetings.
  • Make travel arrangements.
  • Book accommodation.
  • Book courses / training.

                OFFICE   ADMINISTRATION

  • Follow-up on payment of invoices if payment is not received within 30 days. Promptly sort out any invoice inquiries with superior and forward corrected invoices where necessary.
  • Make payments using internet banking. Fax confirmation to the recipient of payment once concluded.

 

  • Bookkeeping.

 

  • Maintain a petty cash float. Ensure that receipts or signed dockets are kept for all petty cash expenditure and/or use
  • Ensure that refreshments are purchased.
  • Provide refreshments to superior and visitors.
  • Prepare a stationery checklist and ensure that stationery stock is maintained.
  • Receive visitors to the Company in a professional and friendly manner.
  • Prepare reconciliation for accountant of income/expenditure and forward by deadline date each month
  • Ensure that hard copy filing is kept up to date in an easily retrievable filing system.
  • Ensure that documents prepared on the computer are filed in appropriate folders for easy retrieval
  • Make back-ups on all office PCs.
  • Report office equipment, telephone or e-mail faults promptly. Maintaining a record of Company, contact person, date and time and fault reporting.
  • Ensure that document control and processes comply with the Company’s quality/ISO standards. Assist ISO Auditors during site audits.

                TENDER   PROJECT ADMINISTRATION

  • Arranging documents as per Tender Requirement.
  • Excellent knowledge in the Preparation of Tenders & Procedures / Bidding and submission of Tenders.
  • Attending the tender opening and pre-bid meeting when required.
  • Selecting Tender from the online tender web site, departmental sites, and the leading news Papers.
  • Assist Companies/Organizations with all documents support.
  • Liaison with Govt. Department for Vendor Registration, Approvals, and Renewal.
  • Submitting documents for getting new registration as an approved vendor.
  • Preparation and submission of different types of Bank Guarantee like Bid security and performance Bank guarantees.
  • Preparing the Tender Comparative Statement
  • Preparing the proposals (Technical & Commercial)
  • Prepare proposals/tenders on instruction from superior, ensuring that proposals/tenders are authorized.
  • Prepare project implementation plans accurately and promptly for authorization by the superior.
  • Open a file for each new Project.
  • Ensure that documents are received and filed in line with the File content checklist.
  • Ensure that copies of all project interventions forwarded or received are kept in the Project file for future reference.
  • Maintain open communication lines.
