Experience

  • Arrange logistics for the meeting, workshops and forums including travelling and accommodation booking of the venue, circulation of agenda and notice of meetings, take minutes during the meeting. 
  • Handle telephone queries in professionally manner, receiving visitors professionally and friendly.
  • Handle finance and administrative functions including ordering stock and check the invoices against the received stock on delivery, photocopying, typing faxing, scanning, email, and mailing of documents and keep records of all incoming and outgoing mail to track documents.

 Prepare spreadsheet for finance on all candidate’s entries by the training institutions as well as when required

  •  Leave management
  • Process cell phone claims, S&T according to the Subsistence and transport policy & procedure in line with the PFMA.
  • Compile Folio Requisition form and capture information on LOGIS as prescribed by financial administration and procurement
  • Oversee diary management, booking appointments, travel arrangements and managing correspondence in the Chief Directorate 
  • Communicate with external and internal stakeholders doing follow ups via emails and telephone calls.
  • Submit all reports as prescribed by management and policy of the organisation from time to time
  • Assist with sectional operation plan
  • Assist internal and external auditors with supporting documentation and samples where necessary
  •  Handle institutional and public enquiries
  • Send out of correspondence to stakeholders for meetings as well as preparation of agenda and
  • minute taking.
  • Assist with preparation of documents, reports, and memoranda when required.
  •  Be able to travel whenever required
  •  Perform ad- hoc tasks as delegated by the line manager/ supervisor
  • Assist with the filing system.
  • Capture data for Child Protection Register new applications and annual reports.
  • Keep filing and maintain manual and digital filing system
  • Compile and record weekly and monthly statistics
  • Communicate with clients for verification of data
  • Capture and issue communication letters.
