Position: Receptionist
Duties /Responsibilities- In Reception:
- Answering high call volumes, taking phone messages and sending missed call messages on our company WhatsApp group.
- Email correspondence and email messages.
- Opening up the office in the mornings.
- Assistance with tender documents.
- Client/guest assistance.
- Consumable and stationary handling.
- Reception cleanliness and hygiene (hand sanitizing).
- Taking down of minutes of meeting.
- Locking the office and kitchen in the evenings.
- Scanning, filing, printing documents.
- Courier, package, delivery and food order handling.
- Controlling the aircon/heaters.
- Assistance to the Managing Director Andile Zulu.
- Assistance within house meetings and setting up Teams Meetings for the Managing Director.
- Assist with Audit meetings.
Duties /Responsibilities- HR Assistance:
- Timesheet assistance
- Payslip assistance
- CV revamping
- Confidential document scanning, handling and printing
- Contract assistance
- Screening calls and taking messages.
- Client/guest assistance
- Updating banking details, and personal information of contractors
- General assistance, when it is needed.
Duties /Responsibilities- Idol Transport/ Finance (Edeona & Nikkita):
- Updating the diesel and expense spreadsheet with incoming diesel and expense receipts.
- Raising invoices
- Update the client invoice capture spreadsheet with incoming invoices
- Scan to email the receipts to Nikkita Dunn.
- Filing of license papers
- Printing and scanning.
- General assistance when needed.
Duties /Responsibilities- Operations Team:
- Filling in and completing of Tender Document information
- Taking down minutes of meeting for team’s weekly meetings-using meeting link.
- Assistance with printing and scanning of documents
- Getting Andile to sign pages to add back into tender documents
- General assistance when needed.
- Monthly contract/ timesheet assistance.
Duties /Responsibilities- Sam:
- Take over the monthly company documents from Takalani.
- Take over from Sam (confirm if I am allowed to do this?)
- Assistance with POP’s
- Filing, printing, and scanning documents.
- General assistance when needed.
