Perform front desk services by receiving and referring clients, welcoming, and attending to stakeholders visiting the office, directing the visitors to relevant places, and supplying them with refreshments when necessary.
Ensure the register is signed and accurately completed, facilitate all complaints, and escalate accordingly.
Provide support service for the directorate to ensure the smooth running of the
Director’s office including all general administrative, and logistical typing support.
Administer all logistic arrangements as required by the manager including arranging travel and accommodation of the manager and staff.
Provide basic secretarial, general administrative support, clerical, and
receptionist functions to the office such as safekeeping of documents, arranging meetings, taking minutes, managing incoming and outgoing correspondences, scanning, and photocopying, collating, and compiling reports.
Keep a logbook of each day’s visitors updated and ensure the reception area is tidy and presentable with all necessary stationery and materials (e.g., pens).
Provide information to clients regarding available services, and assist clients on how to access services from the department.
Capture information from hard copies as submitted by the different Service Providers to electronic systems i.e., MS Word/Excel/PowerPoint, computer
network system, and other reporting systems.
