Property Administrator / Receptionist (Temp to Perm)

Our client a property management company seeks to appoint a dynamic, well presented individual with strong interpersonal skills and a minimum of 1 year property experience to this busy frontline role.

This position is available on a temp to perm basis only and the applicant must be able to commence the assignment with immediate effect (we will not consider anyone who has to work in a notice period)._

Requirements:_

Grade 12 essential.

Strong Ms Office literacy on Word and Excel (Intermediate)

Minimum of 1 year experience within a property experience.

Must be exceptionally well spoken with solid people skills.

Strong admin and numeracy skills required.

Must be very accurate and detail orientated.

Responsibilities:_


RECEPTION AND SWITCHBOARD

  • Greet and Meet visitors upon arrival
  • Answering, screening, and redirecting incoming calls to various personnel
  • Taking correct messages and routing to the correct staff members
  • Oversee that Reception and the office operated effectively
  • Dealing with Post, Deliveries, and Couriers
  • Booking of Board / Forum room for meetings
  • Prepare the Board Room and any Catering for Management and other meeting
  • Arranging refreshments for visitors
  • Ensuring that reception area and other public areas remain tidy always
  • General office duties

PA AND ADMINISTRATIVE DUTIES

  • Provide secretarial support to General and Operational Manager
  • Type correspondence, reports, and other documentation
  • Preparing the monthly management packs, binding, and distributing
  • Responsible for Diary Management
  • Taking and Typing of all Minutes
  • Follow up on all queries
  • Ordering of stationery
  • Staff register

FINANCIAL FUNCTION OF PROPERTY

  • Retrieving of Creditors invoices and process for payment
  • Assist Debtors controller with any queries
  • Follow up on all creditors, debtors, and other queries
  • Assist with expense budgets on request
  • Collating Monthly and Annual Turnover reports
  • Capturing of turnover reports on monthly basis
  • Distributing monthly tenant rental statements
  • Control and requesting Petty cash payments
  • Calculate Utilities on Rentroll

OPERATIONAL FUNCTION OF PROPERTY

  • Route all technical calls to the operational department
  • Obtain quotations on request from service providers

TENANT LIAISON AND LEASING

  • Open and Keep Tenant files update
  • Amend vacancy schedules where needed upon authorization of General Manager
  • Draft correspondence and send to tenants
  • Assist all departments where needed

Job Types:

Salary:
R8, R10,000.00 per month
