Description

Minimum Requirements:
Grade 12
A certificate or diploma will be advantageous
2-3 Years' experience within office administration environment
Basic bookkeeping knowledge (essential)
Previous experience in an administrative role with a focus on supporting sales activities.
Strong organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively.
Excellent verbal and written communication skills, with a professional and customer-oriented approach.
Proficient computer skills, including MS Office suite and QuickBooks software (advantageous).
Attention to detail and accuracy in handling sales-related documentation and data.
Ability to work both independently and collaboratively in a fast-paced environment.
Strong problem-solving skills and the ability to adapt to changing priorities.
Knowledge of sales processes, order management, and customer relationship management.
Strong work ethic, self-motivated, and results-driven

Duties and Responsibilities:
Coordinate with internal departments (production, logistics, finance) to ensure timely order fulfilment and delivery
Respond promptly and professionally to customer inquiries about product availability, pricing, and delivery schedules.
Maintain customer databases, update contact information, track sales activities, and generate reports as needed.
Collaborate with the sales team to process sales orders accurately and completely.
Assist in preparing sales quotations, proposals, and presentations for clients.
Provide reception coverage when required.
Keep records of employee time, attendance, overtime, and perform weekly stocktakes.
Support external sales staff with quotations and emails when needed.
Provide general administrative support to the sales team (scheduling meetings, travel arrangements, calendar management).
Prepare and distribute sales-related documentation (contracts, invoices, sales reports).
Manage and organize sales materials (brochures, samples, promotional items).
