Accounts Payable/ Accounts Receivable Clerk

Minimum Requirements:


  • Matric.
  • Possessing a minimum of 5 years of relevant experience in accounts payable, accounts receivable, and inventory control.
  • Demonstrated experience in handling foreign currencies.
  • Strong proficiency in Microsoft Office Word, Outlook, and Excel.
  • Familiarity with accounting software such as QuickBooks or Pastel.
  • Excellent organisational and timemanagement skills.

Roles and Responsibilities:


Accounts Payable Duties

  • Process supplier invoices accurately and efficiently, ensuring proper authorisation and coding.
  • Prepare and execute payment runs, including electronic transfers, EFTs, and cheques.
  • Reconcile supplier statements and resolve any discrepancies or queries.
  • Maintain vendor records and ensure compliance with payment terms and contracts.
  • Monitor and manage accounts payable aging, follow up on overdue payments, and escalate issues as necessary.
  • Assist with monthend closing procedures related to accounts payable, including accruals and reconciliations.

Accounts Receivable Duties

  • Generate customer invoices accurately and in a timely manner, ensuring adherence to billing terms and contracts.
  • Post customer payments received via various methods, such as cash, cheques, credit card, and electronic transfers.
  • Reconcile customer accounts, resolve billing discrepancies, and follow up on outstanding balances.
  • Monitor accounts receivable aging, identify overdue accounts, and initiate collection efforts.
  • Maintain accurate records of customer transactions and communications regarding payment status.
  • Prepare and distribute regular reports on accounts receivable aging, cash flow, and collections performance.

General Duties

  • Maintain organised and uptodate financial records, including filing and archiving documents.
  • Assist with monthend and yearend financial reporting processes.
  • Collaborate with other departments, such as procurement, sales, and finance, to ensure smooth workflow and resolve issues.
  • Provide support during audits by preparing documentation and responding to auditor inquiries.
  • Stay updated on relevant accounting standards, regulations, and best practices.
