CLIENT SERVICES ADMINISTRATOR:
BIBC CLIENT SERVICES DEPARTMENT - SOMERSET WEST


Reporting to the Senior Agent at the office - The BIBC requires a well-spoken, hardworking, people person to provide a professional and efficient service to the organisation and its clients.


PURPOSE OF THE POSITION


To execute the end-to-end client service and dispute prevention service, thereby contributing to fairness (for both the employer and employee) in the building industry, through adherence to the terms of the collective agreement.


DURATION
Fixed term contract of 2 years, 5 months (01 August 2023 -ending 31 Dec 2025)


SALARY BAND
The package offered will be based on TCOE, and factors such as experience will be taken into consideration.

MINIMUM REQUIREMENTS

  • Matric /Grade 1
  • Proficient in English and Isixhosa
  • Fluency in Afrikaans is advantageous
  • Tertiary qualification in HR/Labour Relations
  • Ability to handle very difficult clients.
  • Ability to work without supervision.
  • 12 years of work experience in a customer care environment
  • At least two contactable references
  • Basic computer skills
  • Must reside close to the Somerset West area
  • Knowledge of the Labour Relations Act (LRA)
  • Bargaining council experience
DUTIES& KEY RESPONSIBILITIES

  • Deal with walkins both employers and employees. Verify and ascertain all the facts of their visits including the request for documentary evidence in support of either a site inspection or a complaint.
  • Complete and process Benefit Claims i.e. (Pension withdrawals, death, funeral, and disability claims).
  • Complete and process Sick Fund and Medical Aid Claims
  • Complete and process advance leave pay.
  • Assist with resolving disputes.
  • If the issues in dispute cannot be resolved, engage the relevant Designated Agent and the complaint must be opened on the relevant systems.
  • Administration pertaining to site inspection reports.
  • Receive site visit documentation if applicable.
  • Capture as a complaint on the relevant system.
  • Log the site inspection.
  • Preparation of documentation for a noncompliant site visit
  • Check if employer is registered.
  • Check if employees are registered.
  • Issue compliance orders
  • Email compliance orders
  • Follow up on compliance orders:
  • Check if the employer has complied with compliance order and communicate with role-players in order to attempt to settle the matter.
  • If the employer has not complied with a compliance order
  • Draw up an assessment
  • Update status
  • Prepare documentation for the Internal Agents.
  • Update contact details on the relevant system.
  • Communicate with employers to sort out matters before the expiry of the 7day period.
  • Assist with the registration of employers.
  • Assist with the registration of employees.
  • Deal with adhoc functions in resolving compliance issues.
  • Scan, print, and prepare all documents pertaining to the site inspection or complaint for forwarding to Internal Designated Agents.
