Purpose of the position:
To oversee the management, purchase and replenishment of goods to ensure maintenance of stock levels and financial management.
Regular assigned tasks and responsibilities will include but are not limited to the following:
Stock ordering:
Maintain Stock plans for ordering
Process suggested ordering on Win Branch and place order with suppliers
Analyze sales and ensure stock levels are correct to minimize stock loss
Maintain storeroom Bin Cards
Stock receiving:
Ensure staff receive stock correctly from supplier / delivery
If any short or over delivery, staff must make note of it on invoice. If they do not, train them correctly
Supervise the maintenance of the storeroom and ensure proper arrangement of stock after delivery
Oversee the unpacking or stocking of shelves as may be required
Oversee the standard of merchandising to ensure appropriate stock presentation as may be required
Stock capturing:
Correctly capture stock / invoice on back office systems, Win Branch
Capture all invoices as soon as possible after delivery, before stock take can take place on following day
Ensure selling prices are adjusted correctly according to margin if there is a change in cost price
All processed invoices to be given to finalize for payment as soon as possible
Stock takes:
Supervise ongoing stock takes weekly to ensure stock levels are accurate
Check variance after each stock take
If you are satisfied with totals, manager must approve with signature
Update stock levels to finalize stock take
Promotions:
Ensure posters are on display and leaflets distributed
Ensure all promotions are scanning correctly on POS systems
Pricing:
Ensure correct margin and markup on all items
Print price labels for all items in shop
Schedules:
Set up a schedule as to what days of the week, weekly orders and deliveries take place
Reporting / Admin:
Do daily tasks on Win Branch:
Fuel receiving
Daily Workflows
Reports when required by management
Month end reports on 1st of every month
Financial Management:
Debtors:
It is illegal to sell fuel on account. Despite this some debtors might under certain circumstances exist at a site. The vetting and control of these debtors is the responsibility of the financial controller.
Creditors:
You will have a large number of companies supplying you with a variety of products.
The general manager must ensure that the best prices and terms are negotiated with the creditors, and that they are settled as per the creditor's agreements.
Always negotiate with creditors for better prices and terms to enable you to maximise profits.Operating System:
Ensure that you receive training on the operating system of your site. This is crucial in managing stock levels, GP's and stock losses.
Profit and stock control:
As touched on previously, ensure that the best quality product at the best available price, in the right quantity is always available on site and that it is merchandised correctly to ensure a pleasant shopping experience for you customer.
Hand in hand herewith ensure that you are familiar with competitor's actions and do price tracking regularly. Always maximise Gross Profit levels and minimise expenses.Salary:
Up to R15,000.00 per month
