Key role and responsibilities


Project management:

Managing delivery of multiple simultaneous digital projects.
Managing and owning projects from concept to completion
Prepare costing documents and proposals for client sign off on project deliverables.
Define project scopes, functional spec documents and encapsulate requirements for the team.
Drafting and reviewing briefs for the UX design and development team.
Collating ongoing client feedback into tasks and plans.
Briefing in technical and UX jobs via workbook to delevlopement and UX team.
Make sure all jobs have tasks added as per requirements.
Make sure all resources have been tasked and booked.
Make sure all tasks have a full explanatory brief.
Create and maintain timelines and ensure milestones are met.
Maintain the usage of the various project management tools and work with clients ticketing tools and systems.
Plan and conduct testing for product and website releases.
Oversee deployments and deployment checklists including SEO and tracking requirements.
Create and maintain documents and user manuals for tasks performed by both the digital team and key stakeholders.


Client and supplier management:

Manage the relationship with the client and or their IT service unit.
Attend and contribute to client meetings and presentations where required

Ability to network and build relationships internally and externally ideally establishing good relationships with clients and other internal and 3rd party professionals.

Ensure any digital asset requirements are met, working in conjunction with the digital design department.
Take charge of and manage any quick-turnaround requests from client and ensure expectations are met.
Setting up and attending client status, client presentation, client troubleshooting sessions and delivering contact reports thereafter.
Liaising with client and internal agency team on a daily basis on project updates and opportunities.


Agency and finance management:

Ensure CE's are being prepared and billed in conjunction with finance.
Ensure all supplier PO's are raised and supplied to finance to meet billing and supplier payment deadlines.
Ensure all Finance queries are resolved in a timeous manner. Maintain a freelancer list and manage any overflow work.
Monitor existing processes and make recommendations to improve current processes that impact deliverables.
Keeping abreast of innovations and/or developments in digital marketing that could be applied to teams and/or clients projects.

Sharing work done by the department regularly with potential clients, existing clients and/or internal teams to drive exposure of teams efforts and skills.

Reporting to and updating internal and external stakeholders.
Attend and contribute to internal milestone meetings with account managers, designers and other stakeholders.


Skill requirements:

A relevant qualification in communications, digital marketing or most preferably in Project Management
Prince 2 Certification - It's not essential, but highly beneficial
At least five years' experience in project management for a digital development-specific team, agency or division
Experienced in Agile / Waterfall methodology and one or more development planning tools (Workbook, JIRA, Trello, Asana or other)
A basic understanding of HTML, coding workflows, delivery methodologies and associated tools like GitHub
Understanding of digital design principles and tools (such as Figma or similar)
The ability to put together your own site maps, wireframes or user journeys would be beneficial
Professional experience required in website management and maintenance or in an online, digitally related field
Experience in digital marketing activities and E-mail marketing campaigns
Understanding of the digital eco-system and digital platforms outside of website (whatsapp, social platforms etc


Attribute requirements:

Strong organisational skills especially with regards to team and time management.

Excellent co mmunication skills as you will be explaining complex development issues to people people who have a basic limited technical undsertanding.

A love for problem-solving and lateral thinking.
