- Executive and Management Team Support:
- Ensure the MD's schedule is optimized for maximum productivity and minimal disruptions.
- Anticipate needs and prepare the MD and management team for meetings, ensuring alignment with business priorities
- Communication and Confidentiality:
- Maintain clear, timely, and respectful communication with internal and external stakeholders.
- Uphold confidentiality in all aspects of the role, maintaining the MD's and company's trust at all times.
- Document Custodianship:
- Ensure all critical company documents are organized, accessible, and compliant with legal and regulatory requirements.
- Facilitate quick access to important documents when needed, ensuring smooth operations for management.
- Project Management and Reporting:
- Contribute to the smooth execution of projects by providing timely support and relevant updates to the management team.
- Ensure the quality and clarity of reports, enabling better decision-making by the MD and leadership team.
- Event and Meeting Planning:
- Support the planning and execution of events and meetings that drive the MD's strategic goals, ensuring all logistics and stakeholder expectations are met.
- Foster a positive environment at events and meetings that enhances team collaboration and communication.
- Office Administration:
- Contribute to the smooth running of the office by ensuring resources are effectively managed, enabling the team to work without interruptions.
- Provide necessary support to enhance overall office operations and contribute to a productive work environment.
- Bachelor's degree (or higher) in Business Administration, Office Management, Corporate Governance, or a related field.
- Professional certifications in project management, executive leadership, or corporate governance (e.g., PMP, CPEA) would be advantageous.
- Minimum of 7 years experience in a similar role, supporting C-suite executives or senior management teams in a corporate or multinational environment.
- Exceptional ability to prioritize multiple tasks with strong attention to detail.
- Excellent written and verbal communication skills, with a professional demeanor.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with project management and CRM software.
- Proven ability to handle sensitive information with a high level of confidentiality.
- Independence and Forward Thinking, Strong self-management, with the ability to work independently and proactively anticipate needs and challenges.
