    Job Summary

    We are seeking a highly skilled Helpdesk Support Specialist to join our team at Business Capital Group. The successful candidate will be responsible for responding to customer inquiries, resolving issues, and ensuring seamless communication with stakeholders.

    Key Responsibilities:

    • Respond to daily logged calls on the helpdesk/MyBuildings system.
    • Log and follow up on complaints or requests received from tenants for services to be rendered.
    • Check and advise the Property Service Manager (PSM) on client mandates.
    • Ensure supporting documents are attached to the Helpdesk/MyBuildings system.
    • Allocate work orders to directly employed Property Service Management.

    Additional Responsibilities:

    • Track job progress, including creating purchase orders, vendor completion, and capturing invoices.
    • Handle calls efficiently, assign job cards to internal maintenance operatives and PSM, and log calls immediately.
    • Attend to follow-ups and escalations of work orders daily.
    • Acknowledge and complete job cards, closing work orders.
    • Liaise with contractors, Building Managers, Property Manager, and Facilities Manager to ensure all parties are informed of current issues.

    Invoice Management Responsibilities:

    • Check and audit all received invoices daily.
    • Verify vendor invoices against compliance checklist and coding as per requester's specifications.
    • Attach correct paperwork to invoices and follow up on non-compliant invoices.
    • Reconcile vendor statements and prepare daily progress reports on Helpdesk/MyBuildings activity.

    Requirements:

    • Maturity (matric required).
    • Relevant degree or diploma (an advantage).
    • At least 3 years' property experience.
    • Strong proficiency in MS Office and software packages (PIMS & MyBuildings).

    Competencies:

    • Excellent communication skills.
    • Attention to detail and numerate accuracy.
    • Innovative thinking and ability to follow process.
    • Dynamic and enthusiastic approach.
    • Ability to interact professionally with individuals at all levels.
