    Job Summary

    The Executive Personal Assistant will provide high-level administrative support to the CEO and other Executive Committee members, serving as a liaison to the board of directors and senior management teams. The ideal candidate will have excellent communication and time management skills, with experience in public relations and executive support.

    Key Responsibilities

    • Sensitive Matters Management: Manage sensitive matters with confidentiality and discretion, especially decisions impacting global operations.
    • Calendar Management: Sustain a daily calendar of meetings and events.
    • Document Preparation: Prepare presentations, agendas, reports, special projects, and other documents in support of objectives.
    • Travel Arrangements: Arrange travel and accommodation for executives.
    • Expense Reporting: Prepare expense reports.
    • Communication: Screen incoming telephone calls, take accurate messages, and respond to requests by gathering information.
    • Correspondence: Draft and prepare correspondence for internal announcements, board meetings, and external organizations.
    • Contact Management: Manage the Executive's contacts.
    • Presentation Assistance: Assist in preparing and managing presentations and decks.
    • Responsiveness: Be responsive to emails, texts, and phone calls, with contact outside normal business hours.
    • Guest Welcome: Welcome Executives' guests by greeting them, answering or directing inquiries.
    • C-Level Matters: Use discretion, confidentiality, and good judgment to manage C-Level matters.
    • Representative Role: Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
    • Ad-Hoc Projects: Complete ad-hoc projects as assigned, such as personal events and/or family needs.
    • Calendar Organization: Organize complex calendars and schedules, resolving any scheduling issues.

    Requirements

    • Education: Degree in Public Relations or similar.
    • Experience: 5-8 years of experience as a Personal Assistant and Public Relations Officer.
    • Skills: Expertise in MS Excel, MS Word, and MS PowerPoint; excellent oral and written communication skills; people-centric approach; flexibility; organizational, analytical, and decision-making skills; confidentiality; English speaking.
