    Role Overview

    To assist the team in delivering on tender requirements in support of business objectives.

    Duties & Responsibilities

    • Tender Coordination: Identify new business opportunities and coordinate submission of quality proposals and tenders.
    • Compliance: Ensure compliance of tender responses, documentation, and submissions, analysing requirements, preparing content, and obtaining relevant information.
    • Event Support: Assist with the coordination of events in support of business development objectives.
    • Research and Development: Conduct research and keep abreast with the latest developments in the field to enhance continuous improvement.
    • Resource Management: Manage the maintenance of all resources to successfully deliver on tender requirements, website submissions, and electronic communication.
    • Database Maintenance: Maintain the accuracy of database registrations by systematically updating them with the latest company information.
    • Template Management: Maintain electronic templates and documents, including company documents, tender templates, and presentation templates.
    • Content Repository: Manage the content repository ensuring all content is accurate, accessible, and up-to-date.
    • Project Management: Achieve project objectives by thoroughly planning and employing robust management techniques.
    • Submission Quality: Work with designers and other suppliers to ensure tenders look professional and are aesthetically appealing.
    • Packaging and Presentation: Source packaging of the best quality and latest trends for competitive submissions.
    • Site Visits: Work with vendors and stakeholders to ensure in-person and virtual site visits are conducted according to best practices.

    Client Relationships

    • Relationship Building: Build and maintain relationships with clients and internal and external stakeholders.
    • Service Delivery: Deliver on service level agreements applicable to clients and stakeholders to ensure that expectations are managed.
    • Client Recommendations: Make recommendations to improve client service and fair treatment of clients.
    • Culture Building: Participate in a culture that builds rewarding relationships, facilitates feedback, and provides exceptional client service.
    • Turnaround Times and Quality: Continuously monitor turnaround times and quality standards.
    • Client Query Resolution: Manage client query processes ensuring that queries are tracked and accurately resolved.

    People Management

    • Culture Creation: Create a positive work climate and culture to energise employees and maximise productivity.
    • Best Practices: Drive a culture that guides best practice, fostering continuous learning and improvement.
    • Information Sharing: Enable a learning and growth culture whereby information is actively shared between team members.

    • Growth and Development: Identify employee growth and development needs and schedule interventions.
    • Performance Management: Effectively manage performance within the team to achieve business objectives.

    Finance

    • Cost Efficiency: Identify solutions to enhance cost effectiveness and increase operational efficiency.
    • Governance: Implement and provide input into governance processes within area of specialisation.
    • Risk Identification: Escalate unresolved policy and governance compliance issues.
    • Risk Communication: Provide input into risk identification processes and communicate recommendations.

    Requirements

    • Qualifications: Degree in Communication/ Marketing or equivalent relevant qualification (Essential).
    • Certification: Registered with the Association for Proposal Management Professional (APMP) (Desirable).
    • Experience: 5 - 8 years' experience in a Tender Fulfilment role, with 3 years in the medical industry (essential). 3 - 5 years' experience in a Marketing or Sales role (essential). 2 - 3 years' experience in people management (essential).
    • Knowledge: Understanding of procurement processes including sourcing, tendering, evaluation, negotiation, and contract management. Knowledge of relevant laws and regulations governing tendering processes. Understanding of market dynamics, trends, and pricing strategies relevant to the industry. Knowledge of bid management processes including proposal writing and submission procedures. Understanding of project management principles and methodologies.
    • Additional Requirements: Flexible working hours: Be prepared to work after hours and on weekends when required. Aesthetic and professional presentation in submissions. Event coordination with vendors and stakeholders. Stakeholder management with Joint Venture partners, subcontractors, and executives.
