- Schedule meetings and appointments.
- Organise the office layout, order stationery and equipment, and manage inventory.
- Maintain the office condition and arrange necessary repairs to facilities and equipment.
- Partner with HR to update and maintain office policies as needed.
- Organise and coordinate office operations and procedures to achieve maximum efficiency.
- Coordinate with the IT department on all office equipment and technology needs.
- Negotiate contracts and prices with vendors, service providers, and office lease holders.
- Provide general support to visitors and guests.
- Meet and greet new employees during the onboarding process.
- Address employees' queries regarding office management issues, such as stationery, hardware, and travel arrangements.
- Plan in-house or off-site activities, like parties, celebrations, and conferences, to foster team morale.
- Manage employee housing and company travel arrangements to ensure convenience and cost-effectiveness.
- Answer company phones and respond to customer inquiries.
- Assist staff members with administrative tasks and provide training when needed.
- Maintain accurate and up-to-date records of office files, including job files, vendor files, and other files related to the company's operations.
- Coordinate and manage appointments, meetings, and conference room schedules to prevent duplicate bookings and ensure seamless communication.
- Welcome and direct guests and visitors.
- Oversee the maintenance of office facilities, equipment, and supplies.
- Perform other duties as assigned by senior staff members.
- Support the Training, Project, and Sales Departments in achieving their goals and objectives.
- Basic computer literacy skills and proficiency in Microsoft Office Suite (Word, Excel, Outlook, and Access).
- Strong organisational skills, strategic planning, and scheduling abilities.
- Effective time-management skills, verbal and written communication skills, and critical thinking skills.
- Quick-learning skills, attention to detail, adaptability, and multi-tasking abilities.
- Prioritising tasks and managing multiple projects simultaneously.
- A diploma or a bachelor's degree in business, administration, or a related field.
- At least 2 years of experience in office administration, preferably in a similar industry or role.
- National Senior Certificate.
