    Office Administrator

    The Office Administrator is responsible for general administration tasks and completes clerical tasks within the office. This includes duties such as welcoming and directing visitors, coordinating meetings and appointments, answering phones, and responding to emails. They assist with all processes within the office to ensure efficient operation.

    Duties & Responsibilities

    Responsibilities and Duties:

    1. Schedule meetings and appointments.
    2. Organise the office layout, order stationery and equipment, and manage inventory.
    3. Maintain the office condition and arrange necessary repairs to facilities and equipment.
    4. Partner with HR to update and maintain office policies as needed.
    5. Organise and coordinate office operations and procedures to achieve maximum efficiency.
    6. Coordinate with the IT department on all office equipment and technology needs.
    7. Negotiate contracts and prices with vendors, service providers, and office lease holders.
    8. Provide general support to visitors and guests.
    9. Meet and greet new employees during the onboarding process.
    10. Address employees' queries regarding office management issues, such as stationery, hardware, and travel arrangements.
    11. Plan in-house or off-site activities, like parties, celebrations, and conferences, to foster team morale.
    12. Manage employee housing and company travel arrangements to ensure convenience and cost-effectiveness.
    13. Answer company phones and respond to customer inquiries.
    14. Assist staff members with administrative tasks and provide training when needed.
    15. Maintain accurate and up-to-date records of office files, including job files, vendor files, and other files related to the company's operations.
    16. Coordinate and manage appointments, meetings, and conference room schedules to prevent duplicate bookings and ensure seamless communication.
    17. Welcome and direct guests and visitors.
    18. Oversee the maintenance of office facilities, equipment, and supplies.
    19. Perform other duties as assigned by senior staff members.
    20. Support the Training, Project, and Sales Departments in achieving their goals and objectives.

    Skill Set:

    • Basic computer literacy skills and proficiency in Microsoft Office Suite (Word, Excel, Outlook, and Access).
    • Strong organisational skills, strategic planning, and scheduling abilities.
    • Effective time-management skills, verbal and written communication skills, and critical thinking skills.
    • Quick-learning skills, attention to detail, adaptability, and multi-tasking abilities.
    • Prioritising tasks and managing multiple projects simultaneously.

    Desired Experience & Qualification

    • A diploma or a bachelor's degree in business, administration, or a related field.
    • At least 2 years of experience in office administration, preferably in a similar industry or role.
    • National Senior Certificate.
