Description

Summary
Provide organizational support to executive and senior management, company secretariat support, and office management of Head Office. Overseee the preparation and compilation of annual reports, regulatory reports, and board packs and provide project development support. Attend meetings, draft minutes, and keep the company web pages updated.

Operational requirements

Senior Management Support
  • Provide support to Executive in their daily tasks. Arrange travel as and when required. Diarize, attend, and prepare for board, subcommittee and senior management and any other meetings required / requested. Attending board & subcommittee meetings, take accurate minutes, draft for review, and circulate. Attending senior management meetings, take accurate minutes, draft for review, and circulate. Drafting communication as requested by Executive & Senior Management

Secretariat Support

  • Attend to any changes in directorship liaising with the Group Accountants. Preparation and arranging signature of resolutions keeping a record of those signed. Keep a record of the latest company documents. Update director's details as and when required. Arrange annual updating of regulatory information. Collecting director information for project / tender submissions. Record Director's attendance for payment of attendance fees.

Community Development:


  • Manage Corporate Social Investment activities in line with OHHA's mainstreaming plans. Engage with current volunteers involved in the CSI programs and attract new volunteers.

Financial - Ensure that the monthly stationery and printing paper is in line with the budget and is ordered and delivered.

Quality Compliance:


  • Comply with Quality requirements as outlined by the company Procedures and Written Instructions in all tasks and activities. Ensure that the required procedures and Quality standards are adhered to.

Safety, Health and Environmental -Ensure that Own Haven Housing association is compliant with the health and safety Regulations Act by: Ensuring that contractors and suppliers that perform work for Own Haven Housing Association have submitted an up-to-date Health and Safety file.


Responsibilities are not limited to only the functions described above and may change or increase as the operational needs of the company change.

Amended job functions will be discussed and agreed with the employee upfront.


Minimum qualifying requirements:


  • Diploma in Business Admin (or equivalent)
  • Driver's license essential with vehicle
  • At least 5 years office administration experience
  • At least 5 years company secretariat experience

Salary:
R11, R13,000.00 per month


Ability to commute/relocate:
