Description

Purpose of the Job
To ensure efficient management of daily operational equipment maintenance activities and administrative tasks.


Responsibilities

  • Coordinate repairs and daily maintenance jobs
  • Source suitable service providers and delegate maintenance tasks to relevant vendors
  • Assist by issuing job cards to contractors as per requests received from the AC's.
  • Minimize damage to assets by calling contractors directly and ensuring immediate response to all emergencies such as burst pipes and fire or any associated health and safety risk.
  • Ensure that job cards, with the respective descriptions are issued timeously to all contractors.
  • Follow up daily with contractors to obtain a start date for all job cards issued.
  • Obtain quotations from contractors for Repairs and Maintenance.
  • Ensure all completed jobs are closed and marked as complete on the maintenance system.
  • Draw monthly reports indicating number of jobs logged, closed, dropped, completed during the month.
  • Issue orders for recurring jobs, such as fire equipment, storm water lines, smoke vents, fire panels, fire sprinklers, pumps, grease traps etc.
  • Perform general admin duties as and when required.
  • Perform all other ad hoc tasks and responsibilities as assigned by management.
  • Maintain and update inventory list of company assets.
  • Update all Fire, Lifts, Escalators, AC service records and folders monthly.
  • Follow up and ensure that contractors issues invoices for completed jobs.
  • Submit contractor invoice with the respective order numbers to the finance department by the 30th of each month to ensure timeous payments.
  • Work closely with the finance team to ensure accuracy in payments monthly.
  • Assist finance with any invoice queries, where contractors have either omitted details or have not fulfilled our invoice requirements.
  • Negotiate favourable rates and setting up of SLA's with suppliers.

Minimum Requirements:


  • Matric or relevant administration NQF 34 Years' experience
  • Previous management experience advantageous
  • FMCG experience

Ability to commute/relocate:

  • Cape Town,

Western Cape:
Reliably commute or planning to relocate before starting work (required)
