    Job Description

    At SGS, a leading global company in inspection, verification, testing and certification, we are seeking a highly organized and detail-oriented Tender Administrator to manage the entire tender process from request for proposal (RFP) to submission of tender documents.

    The ideal candidate will have excellent organizational skills, attention to detail, and ability to work under pressure to meet tight deadlines. The successful candidate will ensure timely submission of tenders that are fully compliant with requirements and aligned with our strategic objectives.

    Key Responsibilities

    • Identify and monitor relevant tender opportunities for Business Assurance services or products.
    • Manage the tender process, including preparation, review, and submission of tender documents.
    • Ensure compliance with tender requirements, company policies, and legal standards.

    Document Preparation and Coordination

    • Coordinate with various departments to gather necessary information and documents for tender submissions.
    • Prepare and compile tender documentation, including technical, commercial, and legal documents.
    • Verify accuracy, completeness, and adherence to requirements set out by the tendering authority.

    Compliance and Quality Assurance

    • Review tender documents for compliance with regulatory and legal requirements.
    • Stay updated on tendering processes, regulations, and best practices.
    • Conduct quality checks on tender submissions to maintain high standards.

    Communication and Liaison

    • Serve as primary point of contact between the company and tendering authority.
    • Liaise with external stakeholders, including clients, suppliers, and government agencies, for smooth tender submission.
    • Communicate tender outcomes to internal stakeholders and provide feedback for improvement.

    Records Management and Reporting

    • Maintain comprehensive database of tender submissions, including status updates, deadlines, and outcomes.
    • Prepare regular reports on tender activities, success rates, and lessons learned.
    • Ensure proper filing and archiving of tender documentation for future reference.

    Additional Requirements

    • Develop and maintain tender calendar to manage multiple submissions simultaneously.
    • Analyze tender specifications to identify key deliverables and risks.
    • Assist in negotiation and finalization of contracts arising from successful tenders.
    • Support sales administration and other reasonable duties assigned by your manager.

    Qualifications

    • Matric (Grade 12)
    • Desirable: Additional certifications in procurement, contract management, or tendering processes.
    • Minimum 3-5 years of experience in tender administration, procurement, or contract management.
    • Experience with public sector tendering processes and compliance requirements in South Africa.

    Required Skills

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
    • Strong understanding of tendering processes, legal requirements, and regulatory compliance.
    • Excellent document management and organizational skills.
    • Strong attention to detail and ability to produce high-quality work under tight deadlines.
    • Effective communication and interpersonal skills.
    • Analytical thinking and problem-solving abilities.
    • High level of integrity, confidentiality, and professionalism.
