    Job Title: Office Manager/Bookkeeper

    Overview:

    The role of an Office Manager/Bookkeeper is a crucial position in the retail sector. This individual will be responsible for overseeing the financial and administrative aspects of the business.

    Minimum Requirements:

    • Grade 12 / Matric qualification
    • Relevant Bookkeeping / Finance qualification (advantageous)
    • Basic bookkeeping experience, including cash book capture, reconciliations, etc.
    • At least 3 years of working experience in a similar role

    Responsibilities:

    Finance:

    • Process transactions on Pastel Evolution
    • Manage UIF, PAYE, and SDL (EMP201) submissions
    • Perform VAT, PAYE, and UIF reconciliations using EasyFile
    • Supply timely income statements for each business on a monthly basis
    • Investigate variances and highlight changes affecting figures, including abnormal payments and increased cost of sales
    • Reconcile banking with cash sales monthly, including undeposited cash and speedpoints
    • Manage third-party payments
    • Oversee petty cash
    • Prepare and submit the Financial Year report by 30 March each year

    Human Resources:

    • Draft letters of appointment and contracts (fixed-term and permanent)
    • Manage leave applications and recording
    • Facilitate disciplinary hearings
    • Compose letters of increase
    • Manage salaries and wages
    • Administer staff accounts and loans

    Creditors:

    • Process supplier applications
    • Check in stock and load GRV's
    • Execute intercompany journals
    • Invoice stock to different companies
    • Reconcile supplier accounts (making and checking payments)
    • Process stock take counts
    • Investigate stock take variances

    Debtors:

    • Process account applications, including following up on trade references
    • Reconcile debtors' accounts
    • Submit statements for payment
    • Follow up on overdue accounts
    • Handle debtors' queries

    General:

    • Arrange courier bookings
    • Procure housekeeping supplies
    • Order stationery
    • Oversee the overall management of the office, including repairs and maintenance, telephone systems, and IT-related queries and issues

    Reports:

    • Generate daily and monthly sales reports
    • Conduct weekly debtors reports and meetings
    • Produce monthly reports of turnover
    • Prepare monthly income statements
    • Generate monthly leave balance reports
