    Description

    The Receptionist will be responsible for the following:

    Perform Reception and switchboard duties:

  • Manage switchboard and ensure that all calls are answered in line with SAVC standards.
  • Screening calls and transferring calls to relevant employees.
  • Taking messages and distributing to relevant employees.
  • Receive guests at reception and ensure that they are attended to.
  • Keep a register of daily visitors for security purposes.
  • Assist with receiving and distributing mail.
  • Provide Administration services and office support:
  • Perform administrative duties relating to council, meetings and secretariat functions.
  • Perform duties relating to filing.
  • Provide meeting support duties for sections (preparing agendas and prepare minutes of the sections' monthly meetings).
  • Assist with execution of committee decisions upon instruction from Registrar.
  • Provide assistance with the upkeeping of files in storeroom.
  • Render general assistance to the Registration section when needed.
  • Perform ad-hoc duties as and when required.
  • Arrange meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments.
  • Manage correspondence and assist in planning and arranging events, including organising catering.
  • Draft, format, and print relevant documents.
  • Maintain accurate records.
  • Photocopy and file appropriate documents as needed.
  • Provide Communication services to registrees, stakeholders and the public:
  • Liaise and attend to queries from registrees, stakeholders and the public in a timeous manner
  • Provide assistance to registrees on the registree portal, annual declaration, CPD and general registration queries.
