We have a vacancy for a Project Office Assistant within the Contracts and Projects (C&P) Department.

The primary purpose of the role is to provide daily project administrative assistance to the members within the C&P Department.

As the Project Office Assistant, you will need to demonstrate strong administrative abilities._

Your role


Project Administration:
Provide Project Office assistance and general project administration Manage Shipping arrangements Follow up on project related action items Manage logistic arrangements during client visits Act as liaison between Project Office and other departments Assist with the update and maintenance of the Project Visual Management tools General documentation proof readingTravel Coordination (Local and International):
  • Process bookings for airplane tickets, accommodation and transport
Ensure all cash advances are administered and ready for travel Process and finalise S&T claims and process authority to travel in IFS Ensure travel packs are ready for each tripGeneral Administration: Plan and coordinate departmental meetings in conjunction with Management Team Plan, coordinate and manage conferences all logĂ­stical requirements in conjunction with Management Team Load IT and facilities service desk requests and ensure follow through Assist Contracts & Projects Team with bookings of boardrooms Arranging appointments Taking messages, typing/word processing and general filing Managing maintaining/ordering the stationary requirements for the Contracts & Projects department Organizing meetings as and when required Assistance with preparing letters, presentations and reports
Profile:You must be able to perform administrative tasks according to the instructions of the project management and ensure a smooth flow of communication between all parties involved.


Skills, Knowledge and Experience:
Excellent organizational and time management skills, with the ability to multitask and prioritize effectively Strong written and verbal communication skills, including professional phone etiquette Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Flexibility and adaptability to changing priorities and fastpaced environments. Resourcefulness and problemsolving skills to address challenges and find solutions independently Practical experience required (e.g. To successfully complete the required tasks) 35 years relevant experience in a Project Environment Experience as a Project Administrator/Coordinator will be an advantageQualification: A tertiary qualification in business administration or equivalent Project Management qualification will be an added advantage
