_LITTLE EDEN is a registered non-profit organisation providing life-long care to 300 children and adults with profound intellectual disability in two custom designed residential facilities - Domitilla and Danny Hyams Home in Edenvale, and Elvira Rota Village, in Bapsfontein.

Based in Edenvale, Johannesburg, Little Eden seeks to appoint a
PERSONAL ASSISTANT to the CEO to provide effective and efficient administrative, secretarial and operational support to the CEO, working on specific projects.

Must be able to support and develop key internal and external stakeholder relationships working closely with management as well as liaising with Board Members.

The PA is also responsible for administration in terms of organisational compliance and governance requirements and submissions.

Key responsibilities for this position include inter alia to:_

  • Provide administrative support and coordination of ad hoc projects for the CEO including research, tracking of deliverables, maintaining documents, engagement with stakeholders, attending project meetings and recording minutes as required.
  • Provide support to the CEO in diary management activities to effectively schedule appointments.
  • Draft, type and review documents for the CEO ensuring documents are quality checked for accuracy, correctness and validity before forwarding to the CEO and/or stakeholders.
  • Compose and prepare correspondence or reports that is confidential or containing sensitive information.
  • Offer support with the Annual Report compilation.
  • Offer support with any audit.
  • Full secretarial function for BoG, BoM, subcommittees, AGM (preparing for meetings, compilation and distribution of documents and reports, taking minutes, etc). Statutory annual submissions and master filing requirements following
  • AGM. Maintains the Minute Books.
  • Ensure compliance with legal and regulatory requirements and following best practice and help to develop and review governance policies and procedures.
  • Control the LITTLE EDEN office Policies and Procedures and keeps them updated. Offers support in terms of drafting policies, formatting these and sends reminders to management to review those under their control on an annual basis.
  • Coordinate all the components (logistics, catering etc.) of management and CEO events, meetings and functions. This includes securing the venue, arrange catering, collate meeting documents for discussion, and ensuring that refreshments are available and all the necessary technology is working to ensure effective communication and presentations.
  • Offers support to the CEO for ad hoc tasks.

The minimum requirements or the position are:_
-
Diploma / NQF level 6 with a relevant Secretarial related qualification, preferably Executive Secretarial. Having an Honours degree would be beneficial.

A minimum of 5 years' experience as an Executive Assistant/PA to a Director/Executive/CEO.

Highly skilled with Microsoft Outlook, Word, Excel, and PowerPoint, Mail merge.

Project management experience would be advantageous.

  • Must have well developed
    research and writing skills and a high level of proficiency in English.
  • Excellent communication and interpersonal and relationship management skills.
  • Must be well organised and ability to work under pressure with excellent time management skills.
  • Resourcefulness and the ability to take the initiative.
  • Ability to think critically and be proactive.
  • Ability to deal with sensitive issues discretely and to handle confidential information appropriately.
  • Must have a high level of EQ.
