    Job Description

    The Administrative Support Coordinator provides day-to-day administrative assistance to ensure the efficient operation of the company, maintaining compliance with company policies and procedures.

    Key Responsibilities:

    • Coordinate travel arrangements for the management team and visitors as required.
    • Take minutes at Board Meetings, Audit and Risk Committee meetings, and all internal meetings.
    • Plan and execute events, including sourcing conference facilities and coordinating with responsible individuals.
    • Manage emails, letters, packages, phone calls, and other forms of correspondence.
    • Maintain databases and records for financial information, personnel, and other data.
    • Prepare reports, proposals, and presentations as needed.
    • Develop and review administrative Standard Operating Procedures (SOPs).
    • Ensure building maintenance issues are addressed promptly.
    • Manage ISO-9001 requirements, including non-conformance reports and training administration.
    • Communicate product licenses and registrations to the responsible department throughout the group.
    • Provide Health and Safety, HR, and Transformation administrative support.
    • Coordinate annual Health and Safety training and manage daily Health and Safety issues.
    • Act as the primary point of contact with the IT service provider.
    • Attend to insurance matters.
    • Manage petty cash and submit reports to accounts for month-end processing.
    • Maintain accurate records.
    • Assist in other responsibilities as needed.
    • Supervise members of the administrative staff, dividing responsibilities to improve performance.
    • Ensure Company Vehicles are properly managed, and services and licensing are completed on time.
    • Manage promotional items.
    • Ensure the building is cleaned accurately and systematically.

    Minimum Requirements:

    • Matric certificate is essential.
    • A tertiary qualification in business administration or equivalent is advantageous.
    • High level of confidentiality is required.
    • Driver's license and own vehicle are essential.
    • Ability to communicate in Afrikaans is an advantage.
    • At least 3 years of work experience in a similar role.
    • At least 3 years of experience in events coordination.
    • Health and Safety Officer experience is advantageous.
    • Ability to multitask and thrive under pressure.
    • Self-starter who requires minimal supervision.
    • Ability to work in an organized and efficient manner.
    • Experience handling sensitive information with diplomacy is a must.
    • Ability to work in a manufacturing environment with specific regulations and deadlines.
    • Good verbal and written communication skills.
    • Professional and poised demeanor.
    • This role involves 20% travel within the Western Cape province.
