Description

The Administration Manager is responsible for managing the daily administrative operations of Nokuphila School, ensuring that all support activities are carried out efficiently to allow the school to function properly.

In addition to this, the role will also require the responsibilities of Personal Assistant to the Principal.


Personal Assistant to the Principal
Manage the Principal's calendar and scheduling, assessing meeting requests, prioritising matters of urgency and redirecting matters as appropriate. Use discretion, diplomacy and initiative to prioritise and manage enquiries, requests and complaints.

Produce, distribute, manage and file agendas, minutes and other documentation for meetings. Manage records and files with accuracy and efficiency.

Ensure that applicable action items from meetings are followed up in a timely fashion by the Principal or on her / his behalf.


HR Administration for all Nokuphila School employees includes


Maintain accurate up to date HR records including management of leave requests, rosters, timesheets, overtime requests, travel and expenditure reimbursements.

Work closely with the Human Resources for guidance and ensuring that processes and policies are complied with.


Management of all support teams and functions at Nokuphila School
Manage the administration, housekeeping, groundskeeping and bus supervisor team. This will include performance management, scheduling, timekeeping, duties and responsibilities.

Manage and supervise inventory of all consumables (cleaning, food, uniforms, stationery, curriculum resources, etc)

Oversee the full procurement function according to the relevant policy and address any areas of non-compliance.


Qualifications, experience and attributes
Diploma in Business Management and/or Business Administration

5 years' experience in administration or secretarial

2 years' experience in Human Resource administration

2 years' experience in a management or supervisory role

Education, Social and community development experience advantageous

Considerable experience with MS Office (Outlook, Word, Excel, Powerpoint)

Strong Christian leadership skills with the ability to inspire and motivate people to excel.

A heart for community outreach / social development orientation

English fluency - reading comprehension, oral and written communication and expression

Methodical and logical thinker with strong attention to detail and meeting deadlines.
