Funeral Arranging Officer to be based at the
Doves office, Somerset West, Western Cape region.

ESSENTIAL REQUIREMENTS

  • Grade 12 / Matric
2. 2 years administrative experience


  • Driver's license
  • MS Office proficiency
  • Knowledge of funeral industry (advantageous)
  • Knowledge of an online processing system (advantageous)

CLIENT SERVICE

  • Funeral Arrangements
  • Receive family and discuss the type of funeral/cremation
  • Obtain the necessary documentation and discuss the procedure of the funeral, e.g. organizing of the flowers, pamphlets, etc.
  • Determine the cost of the funeral
  • Confirm information with minister and family
  • Give correct information through to Funeral Director
  • Funeral administration
  • Capturing all documentation on the computer
  • Advise client of costs and sign it off
  • Make copies of all the documentation and give one set to the family
  • Ensure company payment policy is adhered to (No unauthorized credit, payment before funeral).
  • Ensure cremation documentation and notification of death is arranged for collection and death registration done timeously
  • Ensure correct claim procedures are followed for policies and national agreements and necessary authorisation is received
  • Notify families when deceased's ashes is received and ready for collection
  • Ashes must be booked in Ash register and signed out by client collecting the ashes

ONLINE ORDER PROCESSING

  • Daily or weekly ordering of supplies from approved service provider only
  • Generate a purchase order / requisition (depending on limits of authority)
  • If it exceeds limits of authority, the superior must approve
  • Receives online authorisation
  • Receives and inspects merchandise and reconciles with purchase orders, returns cancelled and damaged items to vendors
  • Send the proof of payments and supporting documents for funeral related consumables to head office
  • Consolidates and prepares invoices and purchase orders for billing in a timely manner - signed off by manager
  • Reconciles purchase orders and follow up on discrepancies
  • Electronically transmits invoice information to Accounts Payable
  • Assist supervisor / manager to order adequate merchandise and supplies; serves as liaison to vendors
  • Ensure 3rd party suppliers are paid on time

DEBTOR MANAGEMENT

  • Responsible for collecting outstanding debts from clients
  • Allocate receipts to invoices and credit notes so that customer balances show the correct debt due to ensure that debtor information is correct.

AD HOC

  • Selling policies and grave stones
  • Assist with the services at funerals
  • Assist with switchboard / reception
  • Any other reasonable request that may be required of you
