    About the Role

    We are seeking a highly skilled and motivated Operations Administrator to join our team in Meondoholdings. This is an exciting opportunity for an individual with excellent technical knowledge and strong analytical skills to take on full responsibility for all operational matters relating to our Property Portfolio.

    The ideal candidate will possess great interpersonal, written, verbal, and organisational skills, as well as numeracy and financial skills and appreciation. They should be computer literate and able to adapt to a variety of environments and work demands. Additionally, they must have a customer-focused attitude and be willing to work additional hours as required.


    Key Responsibilities

    • Create and/or follow procedures and policies that ensure scheduled and ad hoc maintenance is completed in a timely fashion.
    • Identify and report developmental issues to senior management.
    • Liaise with customers, as well as internal personnel including the maintenance team.
    • Analyse data and maintain accurate records.
    • Solve problems and deal with maintenance queries/issues using good business acumen.
    • Manage the on-site handymen, including overtime submissions.
    • Manage move-in and move-out inspections.
    • Coordinate with cleaning, security, gardening, and waste management contractors.
    • Purchase maintenance supplies.
    • Maintain snagging and de-snagging of premises and common areas.
    • Ensure OHS Act compliance on site.
    • Filing of all correspondence.

    Ticketing System Administration

    • Capture all maintenance feedback on Freshdesk.
    • Maintain customer/tenant files within POPI requirements.
    • Support Property managers in respect of maintenance issues.

    General Administration

    • General administration tasks (accounts, payments, welcoming visitors).
    • Assist the Property Manager in administration requirements.
    • Arrange meetings between the Property Manager and customers/tenants.
    • Reinstate premises when tenants move out.
    • Filing of all correspondence.

    Monthly Responsibilities

    • Monitor maintenance costs and manage expenses.
    • Prepare monthly building inspection reports.
    • Load recoveries on tenant accounts.

    Annual Responsibilities

    • Service fire equipment according to regulations and insurance requirements.
    • Archiving of all correspondence and files in accordance with POPI.
