About the Role:
Key Responsibilities


General Admin Duties:

  • Typing various documents
  • Handling incoming and outgoing post
  • Coordinating couriers
  • Managing travel arrangements and accommodation
  • Taking meeting minutes
  • Project filing
  • Scheduling meetings
  • Diary management
  • Reception duties as needed
  • Ad hoc tasks as required

Bidding/Tenders:

  • Preparing bid documents
  • Recording and updating business opportunities

Accounts:

  • Obtaining monthly fuel tariffs
  • Compiling monthly fee accounts
  • Requesting prebills and invoice numbers
  • Capturing contract information on IT IS
  • Finalizing and distributing payment certificates
  • Preparation of WAFs or VOs

Project Administration:

  • Managing appointment letters for site personnel
  • Ensuring timely issuance of relevant documents
  • Reviewing and finalizing site minutes and laboratory reports
  • Handling PPE for site personnel
  • Managing contract documents

Quality:

  • Ensuring project administration meets quality requirements
  • Conducting regular site and project audits
  • Recording and maintaining qualityrelated administration
  • Updating the approved supplier list

BST Administrator:

  • Capturing all project and bid information on BST
  • Issuing project and/or bid numbers

Archiving:

  • Archiving projectrelated files
  • Recordkeeping of archives
  • Yearly reviews and disposal as per procedures

Qualifications, Skills, and Experience Required:

  • 5+ years of relevant experience
  • Previous experience in construction/civil engineering is advantageous
  • Matric qualification
  • Excellent communication and typing skills
  • Problemsolving abilities
  • Initiativetaking and detailoriented
  • Organizational and prioritization skills
