SUMMARY
Assume the primary day-to-day responsibility for planning, managing and controlling payroll-related activities.

Ensure a smooth and streamlined payroll department, focussing on accuracy and integrity of the payroll department and the VIP system.

Maintains payroll information by designing systems, directing the collection, calculation, and entering of data.


MINIMUM REQUIREMENTS

Qualifications:


  • Relevant Certificate
  • Grade 12

Experience:


  • 2 years payroll processing experience
  • 1 year time and attendance
  • Advanced MS Office knowledge
  • Advanced Payroll Systems knowledge (SAGE VIP)

DUTIES AND RESPONSIBILITIES

Operations:


  • Integrity of new staff on VIP system
  • Ensure New Employee starter packs are received from relevant managers and are completed correctly and that no documents are outstanding before capturing the information on the system.

Processing of Payroll Information

  • Capture the information provided on VIP system.
  • Capture all deductions relating to the relevant departments and employees.

Payment of Staff

  • Maintains employee confidence and protects payroll operations by keeping information confidential.
  • Ensure all staff are paid within the agreed timeline and perform monthly payment reconciliations.

ESS System

  • Create, amend, and maintain ESS groups to standard format.
  • Guide and assist managers on how to use the ESS system.
  • Using the workflow in progress report and following up the relevant managers to approve outstanding leave transactions.
  • ESS usernames and passwords to be distributed to relevant staff and managers.
  • Unblocking / Resetting user profiles and passwords on request

Leave Management

  • Accurately link Annual, Sick and Family Responsibility leave are linked to correct method to ensure correct monthly accrual.
  • Accurately link paidperhour staff are linked to correct leave method as per set guideline, to ensure accurate accrual.
  • Send out leave reports for managers to review and approve.
  • Follow up with managers with regards to outstanding documents before creating new employee on the system.

Administration:


  • Accurately upload New Employee information and salary package in the payroll system
  • Ensure all new staff on VIP are linked to the ESS System
  • Assist with preparing the payroll information to be included in the Annual Audit files as per Group Instructions received.
  • Prepare 3rd Party reporting.
  • Assist with Provident Fund withdrawal Forms and ensure all information has been filled out.
  • Ensure all input sheets are saved on te server in the relevant folder by the 11th.

Human Resources:


  • Maintain a strong working relationship with and have open and transparent communication between all members of the team.
  • Understands and applies all relevant legislation, policies, procedures and/or standards in situations that require standard interpretation.
  • Assist with Labour Audits.

General:


  • Support the Payroll Officer and Payroll Manager with any queries relating to payroll department
